Job Overview:
The Operations and analyst" style="border-bottom: 1px dotted #007bff !important;">Administrative Analyst plays a crucial role in supporting the UN Trust Fund by providing management support in various operational areas, including human resources, procurement, mission preparation, and logistics for events. This position is essential for ensuring high-quality and accurate work within the organization. The analyst will report to the Global Lead Capacity Development and Operations and will be responsible for enhancing the Secretariat's capacity and compliance through effective administrative support. The role involves contributing to the recruitment lifecycle, processing HR actions, maintaining staffing records, and supporting learning and development planning. Additionally, the analyst will coordinate procurement processes, manage logistics for high-level meetings and events, and provide travel logistics support for staff and consultants. The position requires strong organizational skills, attention to detail, and the ability to work collaboratively with various stakeholders to achieve the UN Trust Fund's objectives.

Duties and Responsibilities:
  • Provide human resources administrative support to strengthen Secretariat capacity and compliance, including recruitment lifecycle management, contract renewals, performance management tracking, and learning and development planning.
  • Provide operational support services for the UN Trust Fund, including procurement and logistics coordination, ensuring compliance with UN Women procurement rules and policies.
  • Provide logistical coordination support for high-level meetings, workshops, and events, ensuring timely execution and adherence to UN Women protocols.
  • Support the coordination of official missions for UN Trust Fund staff and consultants, including travel and accommodation logistics.
  • Manage asset inventory and ICT coordination, ensuring compliance with UN Women policies.
  • Provide executive coordination and administrative support to the Chief, including calendar management and meeting coordination.
  • Perform other duties as required to ensure the efficient functioning of the UN Trust Fund and the organization.

Required Qualifications:
Candidates must possess a Master's degree or equivalent in Business Administration, Public Administration, Finance, HR, or a related field. A first-level university degree combined with two additional years of qualifying experience may be accepted in lieu of the advanced degree. Candidates should have strong knowledge of programme management in procurement, human resources, and general operations, along with excellent organizational and coordination skills. The ability to analytically review and consolidate documents from various sources is essential, as is the capacity to oversee administrative and logistical processes effectively.

Educational Background:
A Master's degree or equivalent in Business Administration, Public Administration, Finance, HR, or a related field is required. Alternatively, a first-level university degree with two additional years of qualifying experience may be accepted in lieu of the advanced degree.

Experience:
At least 1 year of progressively responsible experience at the national or international level in human resources, procurement, office management, operations support, or finance is required. Experience in providing administrative or operational support for projects/programmes is essential. Familiarity with multiple office software packages and web-based management systems is necessary, and experience in organizing international events is desirable. Experience within the UN system is also a plus.

Languages:
Fluency in English is required, while knowledge of another official UN language (French, Arabic, Chinese, Russian, or Spanish) is desirable.
