In July 2010, the United Nations General Assembly created UN Women, the United Nations Entity for Gender Equality and the Empowerment of Women. In doing so, UN Member States took an historic step in accelerating the Organization’s goals on gender equality and the empowerment of women. The creation of UN Women came about as part of the UN reform agenda, bringing together resources and mandates for greater impact. It merges and builds on the important work of four previously distinct parts of the UN system, which focused exclusively on gender equality and women’s empowerment: > Division for the Advancement of Women (DAW) > International Research and Training Institute for the Advancement of Women (INSTRAW) > Office of the Special Adviser on Gender Issues and Advancement of Women (OSAGI) > United Nations Development Fund for Women (UNIFEM) The main roles of UN Women are: > To support inter-governmental bodies, such as the Commission on the Status of Women, in their formulation of policies, global standards and norms. > To help Member States to implement these standards, standing ready to provide suitable technical and financial support to those countries that request it, and to forge effective partnerships with civil society. > To lead and coordinate the UN system’s work on gender equality as well as promote accountability, including through regular monitoring of system-wide progress.

Job Overview:
The Programme Assistant plays a crucial role in supporting the Programme Team at UN Women Brazil. Reporting to the Project Manager, the Programme Assistant is responsible for providing administrative, logistical, and programmatic support to ensure the effective implementation of programs and projects. This position requires collaboration with government officials, donors, and civil society partners to maintain strong partnerships and ensure compliance with UN Women’s rules and regulations. The Programme Assistant will assist in the development and management of program work plans, budgets, and proposals, and will be involved in tracking the delivery of funds and supporting the execution of Partners’ Agreements and Small Grants. The role is essential for the smooth functioning of the Programme Unit and contributes to the overall mission of UN Women in promoting gender equality and women's empowerment.

Duties and Responsibilities:
  • Provide administrative and logistical support to the formulation and management of programmes, including preparation of work plans, budgets, and proposals.
  • Assist executing agencies with routine delivery and reporting of programme activities and finances.
  • Support the audit of programmes/projects and implement audit recommendations.
  • Gather and compile data for the preparation of documents, guidelines, and position papers.
  • Provide administrative support to the financial management of the Programme Unit, including creating projects in the Quantum system, preparing budget revisions, and processing payments.
  • Undertake logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
  • Draft minutes for meetings and prepare briefing materials and presentations.
  • Organize documentation and information from donors for resource mobilization.
  • Facilitate knowledge building and sharing by organizing training for office staff and partners. 1
  • Perform other duties as necessary for the efficient functioning of the Office and the Organization.

Required Qualifications:
  • Completion of secondary education is required.
  • A Bachelor’s degree in Business Administration or a related field is an asset.
  • At least 5 years of progressively responsible experience in administrative or programme management/support is required.
  • Experience in a computer environment using multiple office software packages (Microsoft 365) is required.
  • Experience in supporting relationships with stakeholders, partners, and donors is an asset.
  • Experience with travel and mission organization or events and meetings is an asset.
  • Experience in supporting a team is desirable.
  • Experience in the use of ERP systems, preferably Oracle Cloud, is an asset.

Educational Background:
The position requires at least a completion of secondary education. A Bachelor’s degree in Business Administration or a related field is considered an asset, enhancing the candidate's qualifications for the role.

Experience:
Candidates should have a minimum of 5 years of progressively responsible experience in administrative or programme management/support. This experience should include working in environments that require the use of multiple office software packages, particularly Microsoft 36
  • Experience in managing relationships with stakeholders, partners, and donors is also valuable, as is experience in organizing travel and events. Familiarity with ERP systems, especially Oracle Cloud, is an additional asset that can strengthen a candidate's application.

Languages:
Fluency in English and Portuguese is required for this position, ensuring effective communication within the team and with external partners. A working knowledge of Spanish is considered an asset, as it may facilitate interactions with Spanish-speaking stakeholders and enhance collaboration in the region.
