Job Overview: The position of Assistente de Projetos is integral to the Unidade de Gestão de Projetos (UGP) within the Governance and Justice for Development Unit at UNDP. The role involves providing administrative and operational support to various projects focused on justice, governance, and human rights. The UGP collaborates closely with other UNDP units and is responsible for managing a portfolio that includes strategic partnerships with the Brazilian Judiciary. The Assistant will work under the supervision of the Project Management team, ensuring high-quality results and enhancing the efficiency and effectiveness of UGP's actions. This includes supporting project implementation, financial management, human resources, procurement, and logistical services, as well as planning, monitoring, and evaluating projects in coordination with the UGP team.
Duties and Responsibilities: The Assistente de Projetos will have a comprehensive set of responsibilities, including:
Supporting procurement and contract activities, which involves assisting in the entire contracting cycle, participating in selection panels, managing contract performance, and ensuring compliance with UNDP procurement procedures.
Assisting in budget and financial management by supporting the preparation and management of project budgets, analyzing financial reports, conducting transactions in the Quantum system, and preparing financial reviews according to UNDP standards.
Supporting human resources processes, including recruitment and selection, ensuring compliance with UNDP HR policies.
Assisting in organizing events, both internal and external, including selecting and contracting suppliers and monitoring service quality.
Supporting travel arrangements by processing travel requests, issuing tickets, and ensuring compliance with UNDP regulations.
Assisting in project planning, monitoring, and evaluation by coordinating with project teams and institutional partners, tracking administrative and operational activities, and preparing progress reports.
Supporting the documentation processes for projects, including the preparation and formalization of Project Documents (PRODOCs) and Letters of Agreement (LoAs), and maintaining organized project documentation.
Required Qualifications: The position requires a minimum of a high school diploma, with a university degree in Public Administration, Law, Social Sciences, International Relations, Public Management, or related fields being preferred. Candidates should possess strong skills in information technology and proficiency in MS Office. Additionally, experience in public sector operations, particularly with public administration entities or the judiciary, is highly valued. Knowledge of human rights issues and experience with the UN system are also advantageous.
Educational Background: Candidates must have at least a high school diploma. A university degree in relevant fields such as Public Administration, Law, Social Sciences, International Relations, or Public Management is preferred but not mandatory. This educational background is essential for understanding the complexities of project management within the context of governance and justice.
Experience: The role requires a minimum of 5 years of relevant professional experience for candidates with a high school diploma, or 2 years for those with a bachelor's degree. Relevant experience includes project management, public or private sector management, advisory roles, or information management. Experience in organizing and producing documentation and reports for international technical cooperation projects is also beneficial.
Languages: Fluency in Portuguese is mandatory, while a basic level of English is desirable. Proficiency in these languages is crucial for effective communication within the UNDP and with external partners.
