Job Overview: The Support ServicesCoordinator plays a crucial role in ensuring compliance with payroll and statutory filing obligations for the Thailand office. This position involves direct support for administration, human resources processes including work permits and visas, logistics, operations, procurement, and finance functions. The Coordinator will work closely with the regional leadership team to provide timely support and advice on Mercy Corps operations in Bangkok, ensuring alignment with the Royal Thai government's guidelines and procedures. The role requires expertise in Thai administrative regulations and compliance requirements to ensure the smooth operation of the office.
Duties and Responsibilities:
Strategy and Planning: Collaborate with the regional senior leadership team to develop and support operations in Thailand.
Administration: Act as the focal point for the setup and administration of the Mercy Corps Bangkok office, including government relations. Coordinate legal administrative tasks such as registration compliance, work permit applications, and business visa applications. Serve as the primary contact for Royal Thai government authorities and facilitate communication with external service providers. Organize visits for external visitors and support them in workshops and meetings. Manage tenancy agreements for office and staff accommodation.
Human Resources: Ensure that global HR policies are localized and aligned with local labor laws. Support the implementation of HR policies and projects for the Bangkok office, ensuring statutory HR requirements are met and communicated to the team.
Operations: Ensure compliance with procurement procedures and manage asset management for the Bangkok office. Oversee leases for office and residential properties, ensuring compliance with local laws and timely payments. Provide logistics support for visitors, including venue hire and travel arrangements. Prepare and submit activity reports to the Ministry of Labor and manage the renewal of Mercy Corps registration.
Safety and security" style="border-bottom: 1px dotted #007bff !important;">Security: Act as the security focal point for the Thailand team and maintain the security plan.
Finance: Ensure completion of key annual finance tasks and monthly finance tasks, including payroll and tax filings. Set up payments via online banking and ensure compliance with local laws regarding financial transactions. Act as the focal person for annual statutory financial procedures as per Royal Thai government regulations.
Required Qualifications:
Minimum of 5 years of working experience in administration, finance, and/or human resources, preferably within an international non-governmental organization (INGO) in Thailand.
Demonstrated understanding and working knowledge of INGO administration principles and processes in Thailand.
Excellent skills in support services, including financial reporting and statutory government reporting.
Experience working with various Thai government departments for work permits, visas, social security, and tax registration.
Proficiency in using finance systems.
Educational Background: A bachelor's degree in Accounting, Finance, Business Management, or a related field is required for this position.
Experience: The ideal candidate should have a minimum of 5 years of relevant experience in administration, finance, or human resources, with a strong preference for experience in an INGO context. Hands-on experience in cross-functional support is essential, along with a solid understanding of Thai administrative regulations and compliance requirements.
Languages: Verbal and written professional proficiency in both English and Thai is required for this position. Knowledge of additional languages may be considered an asset but is not mandatory.
Additional Notes: This position is full-time and based in Bangkok, Thailand. The role does not have supervisory responsibilities but requires collaboration with various teams and stakeholders.
