Job Overview: The Campus Operations Associate is a pivotal role within the Common Services Unit at UN Bonn, responsible for the day-to-day management of facilities and logistical services. This position requires a proactive approach to facility management, ensuring that all building technologies and logistical operations run smoothly. The associate will monitor and manage building technology, oversee maintenance and repair works, and ensure compliance with technical standards and building codes. Additionally, the role involves acting as a liaison with external stakeholders, including German federal authorities and contractors, to facilitate construction projects and maintain the operational integrity of the campus. The associate will also supervise a team of clerical staff and consultants, ensuring that all services provided meet the required standards and contribute to a favorable working environment for UN personnel.
Duties and Responsibilities:
Management of Building Technology and Facilities: Monitor and manage building technology and facilities, ensuring timely follow-up on reported issues to maintain a conducive working environment. Communicate effectively with UN entities and German federal institutions to address problems and implement technical solutions. Develop and apply computer-aided facility management systems, maintaining proper documentation. Manage contracts and service level agreements with technical service contractors, ensuring compliance with facility management standards. Oversee repairs and maintenance works, analyze building operations, and propose cost-saving and sustainability measures. Act as the focal point for internal and external partners regarding campus operations and construction projects.
Management of Logistical Services: Ensure the quality and reliability of mail and logistical services, driving digitalization and efficiency. Manage inbound and outbound postal and courier services, monitor security screening measures, and oversee central parking facilities.
Management of Organizational and Administrative Support Services: Administer allocation of premises and office space for all UN agencies on campus. Provide specifications for procurement of facility management goods and services, supporting procurement processes. Monitor cleaning services and engage in coordination with other teams for smooth implementation of services. Manage the UN Bonn merchandise shop and business.
Support to the Chief of the Section: Ensure cost-effective operations of campus technologies and supplies, contribute to financial management by monitoring expenses, and participate in meetings with government representatives and contractors for campus projects.
Required Qualifications:
Education: Secondary education with specialized certification in building maintenance, operation, facility management, or related fields. A university degree (Bachelor’s) in Architecture, Civil Engineering, Building Technology, Facility Management, Business Administration, or International Relations is preferred but not mandatory.
Experience: A minimum of 7 years of relevant experience with secondary education or 4 years with a bachelor’s degree in areas such as facility management, common services provision, working with CAFM or ERP systems, logistical services, or procurement and administration. Knowledge of UN administrative rules and regulations is advantageous. Experience in managing service contracts and contractor performance is a strong asset. Proficiency in using office software packages is required, and familiarity with German building codes and safety standards is desirable.
Educational Background: The position requires secondary education with specialized certification in building maintenance, operation, facility management, or related fields. A Bachelor’s degree in relevant fields such as Architecture, Civil Engineering, or Business Administration will be considered favorably, although it is not a strict requirement.
Experience: Candidates should possess a minimum of 7 years of relevant experience if they have secondary education or 4 years if they hold a bachelor’s degree. Experience should encompass at least two of the following areas: facility management, monitoring of technical or construction projects, common services provision, logistical services, or procurement and administration. Familiarity with UN administrative rules and regulations is an advantage, as is experience in managing service contracts and contractor performance.
Languages: Fluency in English and German is mandatory for this position. Proficiency in additional languages may be considered an asset but is not required.
Additional Notes: This position is open for local recruitment only, specifically targeting citizens of EU member states or individuals with residence and unlimited work permits for Germany.
