Job Overview: The Facilities and Logistics Consultant position is crucial for the seamless execution of complex global projects within UN Women. The Consultant will work under the supervision of the Administrative and Facilities Specialist and will be responsible for understanding and adhering to UN Women’s rules, regulations, and procurement policies. This role requires a strong background in budget management and project management, as the Consultant will need to recommend actions related to project and policy management. The position involves significant communication with personnel, decision-making, and monitoring project progress to ensure that timelines are met and that the organization operates efficiently. The Consultant will play a key role in logistics support, administrative support, and protocol support, ensuring that all operations align with UN Women’s operational requirements and standards.
Duties and Responsibilities: The Consultant's responsibilities are divided into three main areas: Logistics Support, Administrative Support, and Protocol Support. In Logistics Support, the Consultant will independently monitor and coordinate office furniture delivery and installation, ensuring compliance with procurement specifications and UN Women operational requirements. They will maintain organized project management records, provide regular updates to the FAS Team, and proactively identify and resolve any issues affecting project timelines. In Administrative Support, the Consultant will manage daily facilities-related operations, coordinate with local vendors for maintenance and repairs, and maintain an updated inventory of office assets. They will also facilitate access to the compound, manage mail and shipment logistics, and assist with the Annual Global Asset Physical Verification. In Protocol Support, the Consultant will liaise with German authorities and UN Women HR Services to assist with accreditation, visa, and onboarding processes for new personnel, ensuring that all logistical arrangements are in place for new arrivals.
Required Qualifications: The position requires completion of secondary education as a minimum, with a Bachelor's degree in Administration, Commerce, or a related field considered an asset. Candidates must have at least 7 years of work experience in project management logistics and administration, demonstrating proficiency in using ERP systems and office software, including cloud packages like SharePoint, MS Excel, and PowerPoint. Strong organizational skills and the ability to manage multiple tasks simultaneously are essential, along with a proven track record of delivering high-quality reporting to clients and stakeholders.
Educational Background: Candidates must have completed secondary education, and a Bachelor's degree in Administration, Commerce, or a related field is preferred. This educational background is essential for understanding the administrative processes and logistics management required for the role.
Experience: The position requires a minimum of 7 years of relevant work experience in project management logistics and administration. This experience should include familiarity with ERP systems and office software, as well as a demonstrated ability to manage complex projects and coordinate with various stakeholders effectively.
