Job Overview: The Senior Admin/Finance Assistant plays a crucial role in providing dedicated administrative, travel, and financial support to the FRIT Protection Project. This position is essential for ensuring that project staff, affiliate workforce, partners, and external participants receive the necessary support for their missions, events, workshops, and meetings related to the Protection Project. The incumbent will work under the supervision of the Associate Finance Officer and will be responsible for liaising with various units and external service providers to ensure that travel arrangements, payments, and event-related expenditures are processed accurately and in a timely manner, adhering to UNHCR rules and donor requirements. The role encompasses managing official travel for project staff and participants, preparing and processing travel authorizations, advances, and claims, and ensuring timely payments in the Cloud ERP system. Additionally, the Senior Admin/Finance Assistant will provide administrative and logistical support for project-related events and workshops, maintain accurate records of travel and expenditures, and monitor costs against approved budgets. All tasks must align with UNHCR administrative instructions and financial regulations, and the contractor will be expected to resolve routine operational issues while supporting the smooth implementation of the Protection Project.
Duties and Responsibilities: The duties and responsibilities of the Senior Admin/Finance Assistant include:
Providing comprehensive administrative support to the FRIT Protection Project, including managing travel arrangements for project staff and participants.
Preparing and processing Travel Authorizations, advances, and claims in accordance with UNHCR policies.
Ensuring timely payments in the Cloud ERP system and advising on travel entitlements and procedures.
Offering logistical support for project-related events, workshops, and coordination meetings, including processing participant entitlements and maintaining accurate records.
Monitoring costs against approved budgets and ensuring compliance with financial regulations.
Preparing routine administrative correspondence and documentation as required.
Liaising with internal units and external counterparts to resolve operational issues.
Performing additional related tasks to support the effective implementation of the Protection Project.
Ensuring that all duties are performed in alignment with UNHCR administrative instructions and donor requirements. 1
Regularly reviewing travel processing, event support, and record-keeping to ensure compliance and efficiency.
Required Qualifications: The required qualifications for the Senior Admin/Finance Assistant position include a Bachelor’s degree (or equivalent) in Finance, Business Management, International Relations, or a related field, along with at least one year of relevant experience. Candidates should possess strong organizational skills, attention to detail, and the ability to work collaboratively in a team environment. Familiarity with processing travel entitlements, payments, and claims is desirable, as is experience in supporting meetings, workshops, or project-related events. Knowledge of ERP systems is also considered an asset. Candidates should demonstrate accountability, effective communication, and a commitment to continuous learning and client orientation.
Educational Background: Candidates must hold a Bachelor’s degree (or equivalent) in a relevant field such as Finance, Business Management, or International Relations. This educational background is essential for understanding the financial and administrative processes involved in supporting the Protection Project effectively.
Experience: The position requires at least one year of relevant experience in administrative support, finance, or travel administration. Experience working with the United Nations or non-governmental organizations is considered an asset, as is familiarity with ERP systems and financial regulations. Candidates should have a proven track record of managing travel arrangements and providing logistical support for events and workshops.
Languages: The mandatory language requirement for this position is proficiency in English, as it is the UN working language at the duty station. Knowledge of Turkish is considered desirable, as it may facilitate communication with local stakeholders and enhance the effectiveness of the role.

The contract duration is subject to operational needs, satisfactory service, and availability of funds, with no expectation of renewal beyond its expiry date. The working hours are set at 40 hours per week, which may include mandatory night shifts and the possibility of work on weekends and official holidays. Leave entitlements include annual leave at the rate of two and a half working days per month and sick leave at the rate of two working days for each month of service. Medical coverage is provided through Cigna Health Insurance, with options available for eligible dependents.
