Job Overview: The Programme Assistant will play a crucial role in supporting the implementation of UN Women’s Women, Peace and Security and Humanitarian Action (WPS&HA) portfolio in the Philippines. This position involves providing administrative, logistical, and financial management support to the Programme Team. The Programme Assistant will report to the Programme Associate and will work closely with Programme Analysts and other personnel to ensure effective programme delivery in line with UN Women’s rules and regulations. The role requires a proactive approach to problem-solving and the ability to manage multiple tasks efficiently. The Programme Assistant will contribute to the development of work plans, budgets, and proposals, and will assist in the monitoring and reporting of programme activities. This position is essential for facilitating collaboration among various stakeholders, including government institutions and women’s organizations, to promote gender equality and sustainable peace in the region.
Duties and Responsibilities:
Provide administrative and logistical support to the formulation and management of programmes, including preparation of work plans, budgets, and proposals.
Offer technical guidance to country offices and executing agencies on routine delivery and reporting of programme activities and finances.
Prepare information for audits and support the implementation of audit recommendations.
Review programme data for reporting purposes and compile necessary information for documents and guidelines.
Assist in financial management by creating projects in the Quantum system, preparing budget revisions, and monitoring budget preparation.
Review financial reports and process payments for consultants.
Undertake logistical arrangements for meetings, workshops, and events, including travel arrangements for the Programme Team.
Prepare public information materials and briefing packets, and provide guidance to Programme Assistants as needed.
Support resource mobilization efforts by preparing agreements and processing information from donors. 1
Facilitate knowledge sharing by synthesizing lessons learned and organizing training for office personnel and partners.
Required Qualifications:
Completion of secondary education is required.
A Bachelor’s degree in business or public administration is desirable.
At least 6 years of progressively responsible experience in administration or programme management/support is required.
Experience in a computer environment using multiple office software packages is required.
Experience in supporting a team is required.
Familiarity with modern web-based ERP systems, preferably Oracle Cloud, is desirable.
Educational Background: The minimum educational requirement for this position is the completion of secondary education. However, a Bachelor’s degree in business or public administration is preferred and would enhance the candidate's qualifications for the role.
Experience: Candidates should have a minimum of 6 years of progressively responsible experience in administration or programme management/support. This experience should include working in a computer environment with various office software packages and supporting a team effectively. Familiarity with modern web-based ERP systems, particularly Oracle Cloud, is considered an advantage.
Languages: Fluency in English and Filipino is required for this position. Knowledge of another official UN language, such as French, Arabic, Chinese, Russian, or Spanish, is desirable and would be beneficial for communication within the UN system and with international stakeholders.
