Job Overview: The Administrative and Logistics Associate position is integral to the operations of the UNDSS in Gaza, providing essential support to ensure the smooth functioning of administrative and logistical processes. Under the guidance of the Area advisor" style="border-bottom: 1px dotted #007bff !important;">Security Advisor and direct supervision of the Administrative Officer in Jerusalem, the Associate will implement operational strategies that align with UN regulations, ensuring compliance and quality in administrative activities. This role involves a variety of tasks, including the preparation of work plans, coordination with various UN divisions, and the provision of administrative support during emergencies. The Associate will also be responsible for maintaining accurate records, managing office supplies, and facilitating procurement processes. This position not only requires strong organizational skills but also offers the chance to contribute to the safety and effectiveness of UN operations in a complex environment.
Duties and Responsibilities: The duties and responsibilities of the Administrative and Logistics Associate include:
Implementing operational strategies in alignment with UN rules and regulations, ensuring compliance and quality in administrative activities.
Supporting effective administrative and financial control within the UNDSS Office, including data collection for budget preparation and audits, and providing HR support during emergencies.
Managing administrative and logistical services, including procurement processes, travel arrangements, and vehicle maintenance.
Organizing and maintaining common services and office premises, ensuring a safe and efficient work environment.
Supporting knowledge building and sharing within the UNDSS Office, participating in team discussions, and contributing to training for operations staff.
Performing other duties as assigned to ensure the efficient functioning of the office and organization.
Required Qualifications: The required qualifications for the Administrative and Logistics Associate position include:
A minimum of a High School education is required, with a first-level university degree in relevant fields such as Business Administration, Public Administration, Management, Accounting, Finance, or Logistics being an advantage.
A minimum of 6 years of relevant work experience with a high school diploma or 3 years with a bachelor’s degree in administrative, finance, accounting, logistics, procurement, or management fields.
Proficiency in computer-based tools, particularly the MS Office suite, and basic knowledge of financial management and procurement processes.
Strong organizational skills and the ability to prioritize tasks effectively.
Experience in coordination and liaising with internal teams and external partners is essential.
Educational Background: The educational background required for this position includes at least a High School diploma. A first-level university degree (bachelor’s degree) in fields such as Business Administration, Public Administration, Management, Accounting, Finance, or Logistics is preferred but not mandatory. This educational foundation is essential for understanding the complexities of administrative and logistical operations within the UN framework.
Experience: Candidates must possess a minimum of 6 years of relevant work experience if they hold a high school diploma, or at least 3 years of experience if they have a bachelor’s degree. This experience should be in areas such as administrative support, finance, accounting, logistics, procurement, or management. Familiarity with the UN system or international organizations is desirable, particularly in emergency response operations.
Languages: Fluency in English and Arabic is required for this position. Proficiency in these languages is essential for effective communication within the UN system and with external partners, ensuring that all administrative and logistical tasks are carried out efficiently and accurately.
