Job Overview: The Supply Chain Officer position is critical within the IOM framework, focusing on the coordination and organization of mission stock, asset, and inventory management. The successful candidate will be responsible for overseeing warehouse operations in the Philippines, ensuring compliance with IOM policies and procedures. This role involves monitoring inventory management practices, conducting physical verifications, and preparing reports to support decision-making processes. The officer will also be tasked with maintaining accurate records of assets and inventory, coordinating vehicle maintenance, and ensuring the safety and security" style="border-bottom: 1px dotted #007bff !important;">security of warehouse operations. The position requires a proactive approach to operational improvements and the ability to work collaboratively with diverse teams to achieve organizational goals.
Duties and Responsibilities:
Coordinate and monitor IOM warehouse operations in the Philippines Mission and its sub-offices to ensure compliance with IOM procedures.
Manage receipts and dispatches of stock, maintaining accurate transaction records and reporting discrepancies.
Conduct inventory management activities, including physical stock verification and compliance checks.
Prepare regular and ad hoc reports on warehouse operations to support planning and decision-making.
Implement preventive measures for safeguarding inventory and ensure quality control actions are taken.
Generate bi-weekly stock movement reports and monthly reports on dead stocks for management review.
Coordinate security and safety checks at all IOM warehouses.
Maintain and update inventory files and shipping documents.
Support operational improvements and provide inputs on issues as directed by the Supply Chain Officer. 1
Oversee fleet management, including vehicle maintenance and tracking. 1
Conduct annual asset inventory and assist in asset control processes. 1
Prepare documentation for Asset Acquisition and Disposal Committee meetings. 1
Identify training needs and support training planning. 1
Provide guidance to staff on operational procedures and ensure compliance with standards. 1
Perform any other duties as assigned.
Required Qualifications:
University degree in Supply Chain Management, Operations, Logistics, or Warehouse Management from an accredited institution, with four years of relevant professional experience; or a High School degree with six years of relevant experience.
Extensive experience in inventory, asset, and fleet management.
Progressive experience in materials handling and warehouse setup, with at least one year in a UN system or multicultural organization being advantageous.
Excellent organizational skills and attention to detail.
Experience managing staff and working with diverse teams.
Educational Background: Candidates must possess a university degree in a relevant field such as Supply Chain Management, Operations, Logistics, or Warehouse Management from an accredited academic institution. Alternatively, a High School diploma with significant relevant experience is acceptable. Accredited institutions are those listed in the UNESCO World Higher Education Database.
Experience: Candidates should have extensive experience in inventory, asset, and fleet management, with a strong background in materials handling and warehouse operations. Experience in a UN system or a multicultural organization is preferred, particularly in roles that involve managing diverse teams and complex logistics operations. The ideal candidate will have a proven track record of effectively managing multiple tasks under time constraints and demonstrating strong problem-solving skills.
Languages: Fluency in English and Tagalog is required for this position, both oral and written. Knowledge of IOM's official languages, which include French and Spanish, is considered an asset and may be evaluated during the selection process.
Additional Notes: This position is subject to local recruitment, and only candidates with a valid residence and work permit for the Philippines will be considered. The appointment is contingent upon medical fitness certification and verification of residency and visa requirements. The selection process may be used to fill similar positions in various duty stations, and recommended candidates will remain eligible for appointment for 24 months.
