Job Overview: The Senior Executive Assistant (EA) position at IFC's Singapore office is designed for an experienced professional who will provide comprehensive executive, administrative, and operational support to the Regional Vice President (RVP) for Asia Pacific. This role is critical in ensuring the efficient functioning of the RVP's office, which is responsible for strategic leadership and oversight of the World Bank Group's regional operations, partnerships, and policy dialogues with client governments and development partners. The EA will be expected to engage effectively with external governmental and private sector clients, as well as collaborate with World Bank Group teams across various departments and geographies. The position demands a mature and energetic individual capable of managing complex tasks and maintaining high standards of confidentiality and professionalism.
Duties and Responsibilities: The Executive Assistant will manage the RVP's calendar, prioritizing and scheduling meetings across different time zones, and communicating any changes to relevant staff. Responsibilities include drafting correspondence, proofreading materials, and ensuring the accuracy and timeliness of information flow to and from the RVP's office. The EA will organize briefing materials and presentations for meetings, coordinate travel arrangements, and manage office records and filing systems. Additionally, the EA will provide logistical support for high-level events and conferences, track project timelines, and mentor less experienced staff. The role also involves liaising with facility management vendors and ensuring the office environment is well-maintained. The EA will be a primary point of contact for internal and external stakeholders, ensuring smooth communication and coordination.
Required Qualifications: Candidates must possess a Bachelor's degree and have a minimum of 8 years of experience in administrative assistance and office management. Excellent interpersonal and communication skills are essential, along with a strong command of written and spoken English. Proficiency in another regional language, such as Mandarin or Bahasa Indonesia, is advantageous. The ideal candidate will demonstrate high attention to detail, strong organizational and multitasking skills, and the ability to handle complex and sensitive tasks efficiently.
