Job Overview:
The Senior Executive Assistant (EA) will provide comprehensive executive, administrative, and operational support to the Regional Vice President (RVP) for Asia Pacific at the IFC. This role is crucial for the efficient functioning of the RVP's office, which oversees the World Bank Group's regional operations and partnerships. The EA will be responsible for managing the RVP's calendar, communications, and travel arrangements, ensuring that all logistical and administrative tasks are executed smoothly. The position requires a proactive and mature individual who can effectively engage with various stakeholders, including government and private sector clients, and work collaboratively with teams across different departments and geographical locations. The EA will also support high-level events and meetings, ensuring that all necessary materials and follow-ups are handled promptly and accurately.

Duties and Responsibilities:
The Executive Assistant will manage the RVP's calendar, prioritizing and scheduling meetings across time zones, and communicating any changes to relevant staff. Responsibilities include drafting correspondence, proofreading materials, organizing briefing materials for meetings, and maintaining confidentiality of sensitive information. The EA will coordinate complex travel arrangements, manage office records, and process administrative requests. Additionally, the EA will provide logistical support for high-level events, track project timelines, and assist in resolving issues as they arise. The role also involves mentoring junior staff and collaborating with colleagues across WBG offices to enhance efficiency and support the office's work program.

Required Qualifications:
Candidates must possess a Bachelor’s degree and have a minimum of 8 years of experience in administrative assistance and office management. Excellent interpersonal and communication skills are essential, along with a strong command of written and spoken English. Proficiency in another regional language, such as Mandarin or Bahasa Indonesia, is preferred. The ideal candidate will demonstrate high attention to detail, strong organizational skills, and the ability to handle complex tasks efficiently. A self-starter attitude, problem-solving capabilities, and a high degree of integrity and confidentiality are also required.

Educational Background:
A Bachelor’s degree is required for this position, providing a foundational understanding of administrative practices and office management. The educational background should ideally include coursework or training relevant to business administration, management, or a related field that supports the skills necessary for effective executive assistance.

Experience:
The position requires at least 8 years of prior experience in administrative assistance and office management. Candidates should have a proven track record of managing executive-level support functions, demonstrating the ability to handle sensitive and confidential information, and managing multiple priorities in a fast-paced environment. Experience in a similar role within an international organization or a development institution is highly desirable.

Languages:
Fluency in English is mandatory for this position, as it is the primary language of communication within the organization. Proficiency in an additional regional language, such as Mandarin, Bahasa Indonesia, or Thai, is considered an advantage and may enhance the candidate's ability to engage with diverse stakeholders in the Asia Pacific region.
