Job Overview: The internship-position" style="border-bottom: 1px dotted #007bff !important;">internship position is situated within the Office of the Chief, Human Resources Management Service (HRMS), Division for Management (DM) at the United Nations Office at Vienna (UNOV) and the United Nations Office on Drugs and Crime (UNODC). This internship is designed to provide practical experience in human resources management and organizational communication. The selected intern will engage in various projects and initiatives that align with their academic background and the operational needs of the office. The internship is expected to last between three to six months, starting in May or June 2025, and can be conducted either in-person or remotely. The intern will work full-time, dedicating 40 hours per week to support the HRMS team in achieving its objectives and enhancing its organizational capabilities.
Duties and Responsibilities: The intern will be responsible for a range of tasks that support the HRMS and contribute to the overall functioning of the office. Key responsibilities include:
Supporting the UNOV/UNODC Internship Programme by reviewing onboarding documents, preparing welcome materials, and coordinating with relevant teams to ensure a smooth integration of new interns.
Acting as a liaison between HRMS and internship supervisors to facilitate effective communication and ensure timely processing of internship agreements.
Assisting in the preparation and issuance of internship agreements and completion certificates for interns.
Drafting and formatting internal communications, reports, and meeting summaries with clarity and professionalism to maintain high standards of communication within the office.
Creating and maintaining tracking tools, such as Excel sheets, to manage various data and report on statistics relevant to HRMS operations.
Updating and maintaining the internal HRMS calendar to ensure all team members are informed of important dates and events.
Contributing to the preparation of the HRMS monthly newsletter by drafting content, collecting inputs from team members, and assisting with layout and formatting to ensure timely publication.
Preparing and sending regular email communications, including reminders, updates, and announcements to keep all stakeholders informed.
Performing other administrative tasks and providing general support to the HRMS team as required, demonstrating flexibility and a willingness to assist wherever needed.
Required Qualifications: To qualify for this internship, applicants must meet specific criteria:
Be enrolled in or have recently completed a graduate school programme (second university degree or equivalent, or higher) or be enrolled in or have recently completed the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent).
Demonstrate a keen interest in the work of the United Nations and a personal commitment to the ideals of the UN Charter.
Exhibit the ability to interact successfully with individuals from diverse cultural backgrounds and beliefs, showing a willingness to understand and tolerate differing opinions and views.
Be proficient in standard software applications, particularly MS Word, MS PowerPoint, MS Excel, and MS Teams, to effectively perform the required tasks.
While professional work experience is not mandatory, a field of study closely related to the internship is required, with desirable studies in Business Administration, Human Resources, Education, Communications, Social Sciences, Humanities, or other related degrees.
Educational Background: Candidates must possess educational qualifications that align with the internship requirements. This includes being enrolled in or having recently completed a graduate programme or the final year of a bachelor’s degree.
