Job Overview: The Team Assistant position is integral to the smooth operation of the IFC's administrative functions. This role encompasses a wide range of office support tasks, including managing processes and monitoring schedules related to the team's products and tasks. The Team Assistant will be responsible for organizing and managing the Program Leader's meeting schedule and ensuring effective communication flow, including taking follow-up actions as necessary. This position requires extensive coordination with service units and frequent liaison with team members both at headquarters and in the field, as well as with external counterparts. The Team Assistant will draft routine correspondence, proofread materials, and ensure that all documents adhere to proper grammar, punctuation, and style. Additionally, the role involves using word processing or desktop publishing skills to produce complex texts, reports, figures, and graphs according to standard Bank formats. The Team Assistant will also assist in the preparation and logistical planning for various events, such as conferences and workshops, and will monitor specific activities within their teams or clusters, tracking assigned tasks and providing assistance on project-related matters.
Duties and Responsibilities: The Team Assistant will carry out a comprehensive range of duties, including but not limited to: managing the Program Leader's meeting schedule, organizing communications, coordinating with service units, drafting and proofreading correspondence, producing complex documents, tracking project timelines, maintaining distribution lists, and assisting in the logistical planning of events. The role also involves solving non-routine problems, maintaining up-to-date project files, and translating or drafting various routine documents. The Team Assistant will be expected to engage with diverse stakeholders, including government clients and private sector entities, and will need to demonstrate strong organizational skills and the ability to work independently in a fast-paced environment. The position requires a commitment to high-quality work and the ability to manage multiple tasks within tight deadlines.
Required Qualifications: Candidates must possess a Bachelor's degree and have at least 3 years of relevant office administration experience, ideally within international development organizations. Proven ability to engage with diverse stakeholders is essential, as is extensive knowledge of Microsoft Office applications. Candidates should demonstrate excellent written and verbal communication skills in English and have the capability to mentor less experienced staff on technology and systems. The ideal candidate will also exhibit strong organizational skills and the ability to work independently in a fast-paced environment, with a commitment to maintaining high-quality work.
Educational Background: A Bachelor's degree is required for this position. The degree should ideally be in a field related to administration, business, or international development, providing a solid foundation for the administrative and coordination tasks expected of the Team Assistant.
Experience: The position requires a minimum of 3 years of relevant office administration experience. Candidates should have experience working in international development organizations or similar environments, demonstrating the ability to manage administrative tasks effectively and engage with a variety of stakeholders.
