Job Overview: The Administrative Associate II position is crucial for supporting two significant U.S. Government-funded projects managed by FHI 360, namely EpiC Thailand and Global Healthsecurity" style="border-bottom: 1px dotted #007bff !important;">Security (GHS) Thailand & Regional. The EpiC Thailand project aims to enhance the national HIV/AIDS response by reaching out to at-risk populations and providing essential services in prevention, care, and treatment. Meanwhile, the GHS project focuses on strengthening Thailand's role as a public health hub, enhancing border health systems, and improving rapid response capacities to health emergencies. The Administrative Associate II will perform a variety of administrative support duties that require a solid understanding of organizational policies and procedures. This role involves preparing procurement and travel documents, utilizing office technology, maintaining files, and supporting project information reporting to donors. The position may also involve leading certain administrative tasks and coordinating with internal staff and implementing partners.
Duties and Responsibilities: The Administrative Associate II will be responsible for a wide range of general administrative duties, including responding to staff requests for support, maintaining files, preparing reports and presentations, and managing office supplies. The role includes scheduling meetings, providing logistical support, and ensuring that all project equipment is operational. The associate will also handle procurement requests, ensuring compliance with FHI 360's policies, and manage the overall procurement process, including vendor coordination and inventory management. Additionally, the associate will arrange travel logistics for project staff and maintain records of travel arrangements and hotel accommodations. The position requires excellent organizational skills and the ability to manage multiple tasks efficiently.
Required Qualifications: Candidates must possess a Bachelor’s or Master’s Degree in Accounting, Finance, Management, Communications, or related fields, along with 3-5 years of relevant experience. Experience in procurement support and familiarity with donor procurement policies are essential. The candidate should demonstrate the ability to manage multiple tasks under demanding schedules while delivering high-quality results. Proficiency in Microsoft Word and Excel is required, along with strong communication skills in both spoken and written English. Experience working with international NGOs and government organizations is considered an advantage.
Educational Background: A Bachelor’s or Master’s Degree in a relevant field such as Accounting, Finance, Management, or Communications is required for this position.
