Job Overview:
The Senior Administrative Associate will play a crucial role in supporting two significant U.S. Government-funded projects managed by FHI 360, namely EpiC Thailand and Global Health security" style="border-bottom: 1px dotted #007bff !important;">Security (GHS) Thailand & Regional. The EpiC project aims to strengthen the national HIV/AIDS response by enhancing efforts to reach, test, treat, and retain individuals at risk in HIV prevention, care, and treatment services. Meanwhile, the GHS project focuses on bolstering Thailand's role as a frontline public health hub, enhancing border health systems, rapid response capacities, and emergency operations to effectively detect and contain outbreaks. This position is characterized by a variety of administrative support duties that require a solid understanding of organizational policies and procedures to effectively communicate information related to the projects. The Senior Administrative Associate will be responsible for preparing procurement, travel, and other administrative documents, utilizing office technology, maintaining files, and supporting the gathering and reporting of project information to donors. The role may also involve leading or supervising other employees at an advanced level.

Duties and Responsibilities:
The Senior Administrative Associate will have a wide range of responsibilities, including but not limited to: responding to staff requests for administrative support, setting up and maintaining files, preparing reports and presentations, managing incoming and outgoing mail, scheduling meetings, providing logistical support for meetings, and maintaining records of administrative documents. The associate will also ensure that project equipment is in good working condition, prepare and maintain documentation such as schedules and databases, and may handle special projects involving research and data analysis. In terms of procurement, the associate will collaborate with FHI 360 APRO to process procurement requests, survey reliable sources for vendors, and manage the overall procurement process. Travel arrangements will also be a key responsibility, including hotel reservations and logistics for trainings or workshops. The associate will serve as the point of contact for travel data tracking and will perform other duties as assigned.

Required Qualifications:
Candidates must possess a Bachelor’s or Master’s Degree in Accounting, Finance, Management, Communications, or related fields, along with 5-7 years of relevant experience that demonstrates the necessary knowledge, skills, and abilities for the role. Proficiency in computer spreadsheet applications is required, and prior experience working with international NGOs and government organizations is considered an advantage. The position requires strong organizational skills, attention to detail, and the ability to communicate effectively with both internal and external personnel.

Educational Background:
A Bachelor’s or Master’s Degree in a relevant field such as Accounting, Finance, Management, or Communications is required for this position. This educational background is essential to ensure that the candidate possesses the foundational knowledge necessary to perform the administrative and procurement duties effectively.
