Job Posting Organization: The Office for the Coordination of Humanitarian Affairs (OCHA) is a department of the United Nations Secretariat. OCHA's mission is to mobilize and coordinate humanitarian action effectively in partnership with national and international actors, aiming to alleviate human suffering, advocate for the rights of populations in need, promote preparedness and prevention of disasters, and facilitate the establishment of durable solutions. Job Overview: This internship is being offered at the OCHA Regional Office for the Middle East & North Africa (ROMENA) in Amman, Jordan. The intern will report directly to the Administrative Officer within the Administrative Unit. The primary functions of this position include supporting the team in various administrative and HR tasks, assisting in organizing and maintaining digital HR records, and managing the shared drive to ensure that files are properly labeled and easily accessible. The intern will also be involved in identifying manual administrative processes and proposing automation solutions, as well as implementing automated forms and workflows to enhance efficiency in HR and administrative tasks. The role requires a proactive approach to day-to-day administrative support and the preparation of necessary documentation and reports. The intern will also be expected to stay updated on the latest technologies and trends relevant to the role.
Duties and Responsibilities: The intern's duties and responsibilities will include:
Assisting in organizing, archiving, and maintaining digital HR records.
Managing and organizing the shared drive, ensuring files are properly labeled, categorized, and easily accessible.
Identifying manual administrative processes and proposing automation solutions.
Implementing automated forms and workflows to streamline HR and administrative tasks.
Supporting the team in day-to-day administrative tasks.
Assisting in the preparation of lists, reports, and documentation as needed.
Keeping abreast of the latest technologies and trends that can enhance administrative efficiency.
Required Qualifications: The basic education required for this internship includes a background in HR, Business Administration, Information Systems, or a related field. Applicants must meet one of the following criteria: (a) be enrolled in or have completed a graduate school program (second university degree or equivalent, or higher); (b) be enrolled in or have completed the final academic year of a first university degree program (minimum bachelor’s degree or equivalent). While professional work experience is not required for applicants to the UN Internship Programme, a field of study closely related to the internship is necessary. Candidates must be students in their final year of a bachelor’s, master’s, or Ph.D. program or have completed such a program.
Educational Background: Candidates must have a degree in HR, Business Administration, Information Systems, or a related field. They should be enrolled in or have completed a graduate program or be in the final year of their undergraduate studies. Proof of enrollment or completion of the relevant degree must be provided with the application.
Experience: No professional work experience is required for this internship; however, candidates should have relevant academic experience in a field related to the internship. The internship is designed for students or recent graduates who are looking to gain practical experience in administrative and HR functions within an international organization.
Languages: Fluency in English and Arabic is required for this internship, as these are the primary languages used in the office. Knowledge of French is also beneficial, as it is one of the working languages of the United Nations Secretariat.
