Job Overview: The Executive Associate position is critical in supporting the UN Resident Coordinator (RC) and the Head of the RC's Office in Amman, Jordan. The role involves managing the RC's agenda, coordinating meetings and events, and providing administrative, protocol, and logistical support. The Executive Associate will be responsible for maintaining the RC's calendar, preparing briefing materials, drafting correspondence, and ensuring compliance with UN standards. This position requires a proactive approach to managing the flow of information and communication within the office, as well as liaising with various stakeholders, including high-ranking officials and UN agencies. The Executive Associate will also assist in organizing UNCT meetings and events, contributing to knowledge management, and supporting human resources management activities within the office.
Duties and Responsibilities: The duties and responsibilities of the Executive Associate include:
Managing the RC's agenda, including scheduling appointments and meetings, providing protocol coverage, and acting as an interpreter when necessary.
Preparing high-quality briefing materials and drafting correspondence in accordance with UN norms.
Coordinating travel arrangements for the RC, including logistics and security clearances.
Maintaining rosters of high-level partners and contact lists for UN agencies and the diplomatic corps.
Assisting in organizing official events and meetings, including UNCT meetings and public events.
Maintaining the filing system and ensuring the safekeeping of confidential materials. 1
Collecting and analyzing data to identify trends and provide insights for decision-making.
Required Qualifications: Candidates must possess a high school diploma or equivalent, with a relevant first-level university degree being acceptable in lieu of two years of required experience. Additional certification in administrative services, finance, accounting, audit, human resources, or related areas is desirable. Candidates should demonstrate a strong understanding of UN administrative, financial, and human resources rules and regulations, as well as the ability to perform a broad range of administrative functions effectively.
Educational Background: The educational background required for this position includes a completion of a high school diploma or equivalent. A relevant first-level university degree may be accepted in lieu of two years of required experience. Additional certifications in administrative services, finance, accounting, audit, human resources, or related areas are considered advantageous.
Experience: A minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or related areas is required. Candidates should have experience providing administrative and management support to senior executives and handling sensitive and confidential information. Experience in the United Nations or similar international organizations is essential, and one year or more of experience in data analytics or related areas is desirable.
Languages: Fluency in oral and written English and Arabic is required for this position. Knowledge of another official United Nations language is considered an advantage. Fluency is defined as a rating of 'fluent' in all four areas (reading, writing, speaking, understanding), while knowledge is defined as a rating of 'confident' in two of the four areas.
Additional Notes: This is a Fixed Term position, open for an initial period of one year, with the possibility of extension subject to availability of funds and budgetary approval.
