Job Overview: The Team Assistant position is crucial for the efficient operation of the office within the Department of Nuclear Sciences and Applications. This role involves providing administrative support to a group of professionals, ensuring that the office runs smoothly and effectively. The Team Assistant will be responsible for managing correspondence, records, and logistics for meetings and events. This includes drafting standard correspondence, preparing reports, and maintaining records according to corporate standards. The position also requires the ability to manage travel arrangements and assist with budget tracking. The Team Assistant will play a key role in enhancing the capabilities of Member States in the field of nuclear science and applications, particularly in health-related areas.
Duties and Responsibilities: The Team Assistant will have a variety of responsibilities including:
Correspondence and Records Management: Drafting standard correspondence, formatting documents, and managing office files and records.
Meetings and Logistics: Arranging internal and external meetings, preparing invitation letters, and taking minutes.
Administrative Activities: Inputting and retrieving information from databases, tracking financial budgets, and maintaining information databases.
Providing support to supervisors and other staff members, ensuring compliance with administrative rules and regulations.
Assisting with the preparation of educational resources and guidelines for the Nuclear Medicine and Diagnostic Imaging Section.
Required Qualifications: Candidates must have completed secondary education and possess a minimum of four years of general office support experience, preferably in an international environment. Proficiency in MS Office applications is required, along with the ability to draft routine correspondence and provide training to new staff. Excellent oral and written communication skills in English are mandatory, and knowledge of other official IAEA languages is an asset. Administrative skills testing may be part of the selection process.
Educational Background: The minimum educational requirement for this position is a completed secondary education. Additional qualifications or certifications in administrative support or related fields may be beneficial but are not explicitly required.
Experience: The ideal candidate should have at least four years of general office support experience.
