Job Overview:
The Travel and Logistics Associate (EU) will work under the supervision of the Project Operations Manager within the UNDP Pakistan’s Decentralization, Human Rights, and Local Governance (DHL) project. This project aims to strengthen governance mechanisms in Pakistan, ensuring inclusive service delivery across all provinces. The Associate will be responsible for planning and implementing operational strategies, organizing logistical services, managing travel arrangements, and facilitating knowledge sharing among project staff. The role requires close collaboration with team members to ensure effective implementation of project interventions and adherence to UNDP rules and regulations. The Associate will also play a key role in supporting workshops, conferences, and training sessions, particularly focusing on stigma and discrimination components of the DHL project.

Duties and Responsibilities:
  • Planning and implementation of operational strategies: Ensure compliance with UNDP rules and regulations, prepare routine correspondence and reports, and develop internal standard operating procedures (SOPs).
  • Organization of logistical services: Organize workshops, conferences, and retreats, negotiate with vendors, maintain event documentation, and ensure proper control of supporting documents for audits.
  • Travel planning and budget control: Prepare travel plans, monitor travel requests, consolidate travel reports, and coordinate with vendors for timely invoice submissions.
  • Knowledge building and sharing: Organize training for project staff and contribute to knowledge networks.
  • Perform other activities: Assist in inventory management and undertake additional tasks as requested by consultants or UNDP stakeholders.

Required Qualifications:
  • Minimum Academic Education: Secondary education (High School) is required; a first-level university degree in Business Administration, Management, Supply Chain, or a related field is preferred.
  • Minimum years of relevant experience: At least seven years of relevant professional experience in travel management for those with secondary education, or four years for those with a bachelor’s degree.
  • Required skills: Proficiency in office software (MS Word, Excel) and knowledge of web-based management systems such as ERP.
  • Desired skills: Experience in organizing events and conferences, familiarity with UN Agencies or International development sector ERP systems, and knowledge of Pakistan's road/air networks.

Educational Background:
The position requires at least a secondary education (High School diploma). A first-level university degree (bachelor’s degree) in Business Administration, Management, Supply Chain, or a related field will be considered an advantage but is not mandatory.

Experience:
Candidates should have a minimum of seven years of relevant experience in travel management if they possess a secondary education, or four years if they hold a bachelor’s degree. Experience in the development sector organizations or UN agencies is preferred, along with a proven track record in managing travel logistics and event organization.

Languages:
Fluency in English and Urdu is required for this position. Proficiency in additional languages may be considered an asset but is not mandatory.
