Job Overview:
The UN Volunteer in Procurement Support will play a crucial role in assisting the Procurement Section of UNMISS, which is responsible for procuring goods and services necessary for the mission's operations. The position is based in Juba, Central Equatoria, which is classified as a hardship and non-family duty station. The volunteer will work under the direct supervision of the Chief Procurement Officer/Unit Chief and will be involved in various procurement support activities, including administrative tasks and buyer activities. The role requires a proactive approach to ensure timely delivery of goods and services, effective communication with stakeholders, and adherence to UN procurement regulations. The volunteer will also be expected to conduct data analysis and provide reports, contributing to the overall efficiency of the procurement process.

Duties and Responsibilities:
The duties and responsibilities of the UN Volunteer in Procurement Support include:
  • Performing procurement support activities such as printing shopping carts and Request for Quotations (RFQs), filing, recording, and distributing case files to relevant Technical Units and buyers.
  • Receiving, recording, and filing incoming and outgoing documents to maintain organized records.
  • Expediting the delivery of goods and services ordered to ensure timely fulfillment of procurement needs.
  • Scanning completed procurement case file documents and uploading them into the relevant systems for future reference.
  • Conducting data analysis and providing both quantitative and qualitative reports as required.
  • Assisting in buyer activities by reviewing specifications and scopes of requirements for goods and services, preparing source selection plans, and drafting solicitation documents.
  • Reviewing technical evaluation reports to ensure compliance with evaluation criteria and performing commercial evaluations of submitted proposals.
  • Preparing Purchase Orders and Contracts as applicable and monitoring the delivery of purchased goods and services.
  • Maintaining close cooperation with internal and external stakeholders to facilitate effective communication and problem-solving throughout the procurement process. 1
  • Updating and maintaining logs and tracking tools used to monitor and record the unit's activities.

Required Qualifications:
The required qualifications for the UN Volunteer position include strong organizational skills, attention to detail, and the ability to work effectively in a team environment.
