In July 2010, the United Nations General Assembly created UN Women, the United Nations Entity for Gender Equality and the Empowerment of Women. In doing so, UN Member States took an historic step in accelerating the Organization’s goals on gender equality and the empowerment of women. The creation of UN Women came about as part of the UN reform agenda, bringing together resources and mandates for greater impact. It merges and builds on the important work of four previously distinct parts of the UN system, which focused exclusively on gender equality and women’s empowerment: > Division for the Advancement of Women (DAW) > International Research and Training Institute for the Advancement of Women (INSTRAW) > Office of the Special Adviser on Gender Issues and Advancement of Women (OSAGI) > United Nations Development Fund for Women (UNIFEM) The main roles of UN Women are: > To support inter-governmental bodies, such as the Commission on the Status of Women, in their formulation of policies, global standards and norms. > To help Member States to implement these standards, standing ready to provide suitable technical and financial support to those countries that request it, and to forge effective partnerships with civil society. > To lead and coordinate the UN system’s work on gender equality as well as promote accountability, including through regular monitoring of system-wide progress.

Job Overview:
The Partnerships and Programme Assistant plays a crucial role in supporting the External Relations Unit (ERU) of UN Women. This position involves providing administrative, logistical, and programmatic assistance to ensure the smooth implementation of the unit's strategic objectives. The assistant will work closely with the Head of External Relations and collaborate with various teams within the ERU, including Resource Mobilization & Partnerships, Advocacy, and Communications. The role requires a proactive approach to managing tasks related to financial management, contract management, procurement, and event organization. The assistant will be responsible for creating and monitoring project budgets, managing contracts for consultancy positions, and ensuring compliance with procurement regulations. Additionally, the assistant will coordinate events and meetings, making travel arrangements and maintaining databases, all while adhering to UN Women’s rules and regulations.

Duties and Responsibilities:
  • Provide administrative support to the financial management of the External Relations Unit, including creating projects in Quantum, preparing budget revisions, and monitoring project finances.
  • Assist in the recruitment and management of consultancy positions, processing contracts and payments, and ensuring compliance with HR and Procurement rules.
  • Support the procurement plan by monitoring and facilitating the procurement of services and goods in accordance with established regulations.
  • Organize logistical arrangements for events, campaigns, and meetings, including high-level conferences and training sessions.
  • Maintain the ERU contacts database and coordinate filing of documents.
  • Perform other duties as necessary for the efficient functioning of the unit and organization.

Required Qualifications:
  • Completion of secondary education is required; a Bachelor’s degree in Business or Public Administration is an asset.
  • At least 5 years of progressively responsible experience in administrative support, partnerships, or event management.
  • Experience in project management, HR, finance, or budget management is required, with a preference for candidates with experience in multiple areas.
  • Proficiency in using office software packages and experience with ERP systems, preferably Oracle Cloud, is desirable.
  • Experience working with development organizations is an advantage.

Educational Background:
Candidates must have completed secondary education, with a Bachelor’s degree in Business or Public Administration considered an asset. This educational background supports the administrative and financial management tasks required in the role.

Experience:
The position requires at least 5 years of progressively responsible experience in administrative roles, partnerships, or event management. Candidates should have experience in project management, HR, finance, or budget management, with a preference for those who have worked in multiple areas. Familiarity with office software and ERP systems is also necessary, particularly experience with Oracle Cloud.

Languages:
Fluency in English and Thai is mandatory for this position. Knowledge of another official UN language such as French, Arabic, Chinese, Russian, or Spanish is desirable, enhancing the candidate's ability to communicate in a diverse environment.
