Job Overview: The Programme Assistant – Policy and Coordination Support is responsible for providing administrative and coordination support to facilitate policy and coordination-related activities within the Programme Support Unit. This role involves assisting in compiling and organizing information, maintaining records and information resources, organizing meetings and events, and preparing routine reports, presentations, and other documentation. The incumbent will also provide administrative and secretariat support to coordination processes, including activities of the United Nations Network on Migration in Indonesia, ensuring adherence to established procedures. The position requires a proactive approach to support the mission's objectives and contribute to the effective implementation of migration policies and programs.
Duties and Responsibilities: The Programme Assistant will gather, compile, and organize information on human mobility and migration dynamics in Indonesia, following established sources and guidance to support policy and coordination-related activities. The role includes assisting with preparations for UN Network meetings by providing administrative and secretariat support, maintaining relevant records and data, preparing draft agendas, taking minutes, and supporting presentations and other required information products. The incumbent will maintain communication and information exchange with UN focal points and other stakeholders, supporting follow-up on assigned coordination and joint migration-related activities. Additionally, the Programme Assistant will provide administrative and logistical support to activities related to multilateral processes, including the Bali Process, Colombo Process, Abu Dhabi Dialogue, and the Global Compact for Migration (GCM). Responsibilities also include collecting and organizing background information for policy briefs, position papers, information sheets, presentations, and other communication materials, as well as compiling data and preparing routine reports, summary tables, and other information products for review by the supervisor. The incumbent will maintain organized electronic and/or physical files, records, and other relevant documentation related to assigned activities and perform other relevant duties as assigned.
Required Qualifications: Candidates must possess a Bachelor’s degree in Social Sciences, Law, Policy, Economics, or a related field from an accredited academic institution, along with two years of relevant professional experience; or a High School diploma with four years of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. The ideal candidate should have experience providing program, project coordination, or administrative support, preferably within a migration, development, or humanitarian context. Experience coordinating information with a range of stakeholders, including government entities, United Nations agencies, civil society organizations, and other partners is essential. Additionally, candidates should have experience providing administrative and program support services, including organizing meetings, workshops, consultations, and related events, as well as compiling, organizing, and maintaining information, records, databases, and knowledge management resources. Experience in preparing routine reports, briefing materials, presentations, and meeting documentation, including minutes and summaries, is also required.
Educational Background: A Bachelor’s degree in Social Sciences, Law, Policy, Economics, or a related field is required. Alternatively, a High School diploma is acceptable if accompanied by four years of relevant professional experience. The educational qualifications must be from accredited institutions recognized by the UNESCO World Higher Education Database, ensuring that candidates have a solid academic foundation relevant to the responsibilities of the position.
Experience: The position requires candidates to have a minimum of two years of relevant professional experience if they hold a Bachelor’s degree, or four years if they have a High School diploma. Languages: Fluency in English and Bahasa Indonesia (oral and written) is required for this position.
