Job Overview: The position of Assistente de Apoio à Gestão de Projetos [Crescer em Segurança] is designed to support the execution of administrative and operational processes for the effective implementation and monitoring of projects. The role involves ensuring timely deliveries in accordance with established procedures and guidelines. The assistant will work under the direct supervision of the National ProjectCoordination in Brazil and will contribute to the project aimed at strengthening the protection systems for children, adolescents, and youth in vulnerable social situations. This project is part of a broader strategy to prevent violence and promote integrated actions that enhance access to rights for these populations. The assistant will be responsible for various administrative tasks, including documentation processing, logistical arrangements, procurement requests, and report preparation, ensuring compliance with standard operating procedures.
Duties and Responsibilities: The duties and responsibilities of the Assistente de Apoio à Gestão de Projetos include: providing administrative support for project planning, implementation, monitoring, and reporting; assisting in maintaining project tracking tools to monitor deliveries, contracts, travel, workshops, and grants; supporting the preparation and formatting of reports, informational materials, presentations, and meeting minutes; ensuring proper filing and organization of project documentation (both electronic and physical); participating in regular team meetings and providing updates on assigned tasks; assisting in organizing logistics for meetings, workshops, conferences, and events, including travel, accommodation, and catering arrangements; preparing travel authorizations and processing related documentation for staff and partner travel; liaising with suppliers and participants regarding logistical issues; compiling and verifying supporting documentation, invoices, and contractual deliverables for payment processing and contract administration; maintaining spreadsheets and tracking tools for procurement and payments; and supporting knowledge management initiatives and team capacity-building activities.
Required Qualifications: The required qualifications for this position include a high school diploma (or equivalent) with 4 years of relevant experience, or a bachelor's degree (or equivalent) in Law, Social Sciences, or related fields with no prior relevant experience. Candidates must demonstrate relevant experience in project management or related areas, proficiency in collaboration and productivity tools (e.g., MS Office, G-Suite), and web-based management systems. Desirable qualifications include experience in providing technical and administrative support to multisectoral public policies focused on children's and adolescents' rights, particularly within the Ministry of Justice and Public security" style="border-bottom: 1px dotted #007bff !important;">Security or similar governmental bodies, prior participation in project governance related to children's rights, violence prevention, drug policy, and social inclusion, as well as experience in academic and/or international research environments.
Educational Background: The educational background required for this position includes a mandatory high school diploma (or equivalent) with 4 years of relevant experience, or a bachelor's degree (or equivalent) in Law, Social Sciences, or related fields with no prior relevant experience. Languages: The mandatory language requirement for this position is fluency in Portuguese. Additional Notes: The position is classified as entry-level with an ICS Level of 04 and is offered under an Individual Contractor Agreement (ICA) - LICA - Support - Regular contract type.
