Job Overview:
The Executive Assistant position at UN Women involves providing comprehensive executive administrative support to the Country Representative and Deputy Representative. The role requires maintaining confidentiality and ensuring efficient communication and information flow within the office. The Executive Assistant will manage the Country Representative's calendar, arrange travel, and handle correspondence, ensuring timely action and compliance with deadlines. This position is crucial for facilitating the Country Representative's interactions with external partners and supporting the office's external relations activities. The Executive Assistant will also contribute to knowledge management and sharing within the office, making it a vital role in the overall functioning of UN Women in Colombia.

Duties and Responsibilities:
  • Provide executive support to the UN Women Country Representative by managing their calendar, scheduling appointments, and arranging travel and accommodations.
  • Offer administrative support for meetings, events, and workshops, including organizing meetings, preparing minutes, and assembling briefing materials.
  • Facilitate effective communication and information management by reviewing and prioritizing correspondence, responding to inquiries, and maintaining organized files.
  • Support the Country Representative's external relations activities by coordinating interactions with external partners and ensuring proper protocol during visits.
  • Contribute to knowledge building and sharing by providing administrative support for effective knowledge management within the office.
  • Perform other duties as necessary for the efficient functioning of the office and organization.

Required Qualifications:
Candidates must have completed secondary education, with a Bachelor's degree in business administration or public administration considered an asset. A minimum of 5 years of progressively responsible experience in administrative, secretarial, or program roles is required. Proficiency in computer applications, particularly Microsoft Office and web-based management systems, is essential. Experience with modern web-based ERP systems, preferably Oracle Cloud, is desirable.

Educational Background:
The position requires at least a secondary education, with a Bachelor's degree in business administration or public administration being advantageous. This educational background supports the administrative and organizational skills necessary for the role.

Experience:
The ideal candidate should possess at least 5 years of progressively responsible experience in administrative, secretarial, or program roles. This experience should include familiarity with computer applications and software packages, as well as experience with web-based management systems. Experience with ERP systems, particularly Oracle Cloud, is a plus.

Languages:
Fluency in Spanish and English is mandatory for this position. Knowledge of another official UN language, such as French, Arabic, Chinese, or Russian, is considered desirable and would enhance the candidate's profile.
