Job Overview:
The position of Auxiliar de Soporte a la Gestión de Proyectos/Programas is crucial for the success of various projects and programs within the UNODC framework. The role involves providing essential administrative and coordination support in planning, implementation, monitoring, and reporting of project activities. The individual will work closely with project teams to ensure smooth delivery of activities, maintaining high standards of documentation and communication. The Auxiliar will assist in various tasks such as data entry, logistics, and document organization, ensuring that all project-related activities are executed efficiently and effectively. Duties and Responsibilities:
  • Provide routine administrative support for the planning, implementation, and monitoring of project activities, adhering to UNODC's standard regulations and policies.
  • Assist in tracking project personnel needs, organizing related files, minutes, documentation for new and active personnel, workshops, and training sessions, ensuring timely follow-up and accurate documentation.
  • Help collect inputs, outputs, and organize management reports, materials for calls, inductions, proof files, selections, and internal meeting notes as directed by supervisors.
  • Maintain tracking tools for calls, new positions, training programs, and personnel files, ensuring data is up-to-date and properly archived.
  • Facilitate logistical support for area-specific activities, organizing meetings, interviews, and calls.
  • Participate in regular team meetings to report on progress, upcoming priorities, and coordination needs within the area.
  • Provide logistical and administrative support for training and learning sessions on personnel management in projects/programs, including planning, organizing venues, and distributing materials.
  • Engage in knowledge-sharing initiatives and Communities of Practice as indicated, sharing observations from daily tasks.
  • Be available to perform any other functions or activities as required by the immediate supervisor based on area needs.

Required Qualifications:
  • Required: High school diploma (or equivalent) with 3 years of relevant experience in administrative support.
  • Desired: Undergraduate degree (bachelor's or equivalent) in fields such as psychology, business administration, industrial engineering, social work, or related disciplines with 0 years of experience.
  • Demonstrated competence in using collaboration and productivity tools (e.g., MS Office) and web-based management systems is essential.
  • Experience working in international cooperation organizations or a UN system organization is considered an advantage.

Educational Background:
The educational background required for this position includes a high school diploma or equivalent, with a preference for candidates holding an undergraduate degree in relevant fields such as psychology, business administration, industrial engineering, or social work. Candidates with a high school diploma must have at least three years of relevant experience, while those with a bachelor's degree are encouraged to apply even without prior experience.

Experience:
The position requires relevant experience in administrative support, particularly in documentation and logistical management for projects/programs. Candidates should demonstrate proficiency in using productivity tools and web-based management systems. Experience in international cooperation or within a UN organization is desirable but not mandatory. Languages:
