Job Overview: The General Services Clerk position is integral to the efficient functioning of the UNDP Country Office in Jordan. The role involves supporting the delivery of administrative services that are compliant with UNDP rules and procedures. The General Services Clerk will work under the direct supervision of the analyst" style="border-bottom: 1px dotted #007bff !important;">Administrative Analyst (NOA) and will be responsible for managing common premises, registry services, government liaison functions, and fleet coordination. The incumbent will be expected to implement administrative processes, maintain records, and facilitate communication with government entities, thereby playing a key role in the operational success of the organization.
Duties and Responsibilities:
Support the Management of Common Premises and Facilities: Assist in the administration of office premises, coordinate maintenance activities, and ensure compliance with safety and security" style="border-bottom: 1px dotted #007bff !important;">security standards.
Provide Registry and Mail Management Services: Manage incoming and outgoing mail, maintain registry records, and ensure confidentiality of official documents.
Support Government Liaison and Administrative Transactions: Facilitate processes with government entities for residency permits and customs clearance, maintaining updated records.
Support Fleet and Transportation Coordination: Coordinate transportation requests, maintain vehicle records, and ensure compliance with fleet management procedures.
Support Administrative Coordination and Knowledge Sharing: Maintain administrative records, contribute to knowledge networks, and perform other tasks as assigned by the supervisor. The General Services Clerk will also be involved in synthesizing lessons learned and best practices in procurement.
Required Qualifications: Candidates must possess a minimum of secondary education, with a university degree in Business Administration, Social Science, Management, or a related field being advantageous. A minimum of 4 years of relevant work experience is required for those with secondary education, while candidates with a bachelor's degree need at least 1 year of experience. Proficiency in MS Office applications and email/internet software is essential. Experience within UN agencies and demonstrated communication skills with various stakeholders are desirable. Candidates should also have experience in fleet management and general administration.
Educational Background: The minimum educational requirement for this position is secondary education. However, candidates with a university degree in Business Administration, Social Science, Management, or a related field will be given due consideration. While a degree is not mandatory, it is preferred and can enhance the candidate's profile.
Experience: The position requires a minimum of 4 years of relevant work experience for candidates with secondary education, or at least 1 year of experience for those with a bachelor's degree. This experience should be in programme support and operational-related tasks, demonstrating the ability to manage administrative functions effectively.
