Job Overview: The Project Management Support Associate plays a crucial role in providing substantive support to the planning, coordination, and delivery of project activities. This position requires close collaboration with project managers and local stakeholders to ensure effective coordination and facilitate operations. The associate will be responsible for maintaining the efficiency of project delivery in line with the project's results framework and internal processes. The role encompasses various functions, including planning and preparation, training and implementation support, monitoring and reporting, operational and logistical support, and knowledge building and sharing. The associate will contribute to the overall success of the project by ensuring that activities are executed efficiently and effectively, thereby driving impactful project outcomes.
Duties and Responsibilities:
Planning and Preparation: Support senior technical leads or project managers in stakeholder engagement, training needs assessment, and development of capacity-building programs. Contribute to budget and consumption projections preparation, procurement processes, and identification of risks with mitigation measures. Assist in drafting project agreements, amendments, and budget revisions in consultation with project managers and relevant stakeholders.
Training and Implementation Support: Coordinate logistics for training sessions, workshops, and meetings, including venues, materials, accommodation, catering, assessments, and certification. Support the development of training materials and the integration of thematic inputs into delivery. Liaise with service providers, retainers, and project stakeholders to ensure effective project implementation. Facilitate internal and external communications to minimize operational disruption and maintain consistent project delivery.
Monitoring, Reporting and Compliance: Develop and update monitoring tools, progress tracking sheets, and risk/issue registers. Collect, prepare, and archive documentation related to training and project activities. Contribute to drafting and quality assurance of reports, meeting minutes, and donor/partner submissions. Track project milestones and alert managers on deadlines and reporting requirements. Support financial reporting and monitor budget expenditures, ensuring compliance with UNOPS policies, procedures, and donor requirements.
Operational and Logistical Support: Coordinate procurement, travel, transport, and inventory management in support of project operations in Ukraine, ensuring compliance with safety and security" style="border-bottom: 1px dotted #007bff !important;">security processes and procedures. Support HR-related project requirements, including drafting terms of reference for positions, monitoring deliverables, recruitment activities, and payment requests. Manage and safely store project files, shared drives, and document management systems to ensure real-time tracking and accessibility.
Knowledge Building and Sharing: Support the organization, facilitation, and delivery of training and learning sessions on project management. Participate in knowledge-sharing initiatives and Communities of Practice (CoPs), contributing insights and lessons learned. Conduct research on project management-related topics and contribute to the drafting of reports, summaries, and briefing notes.
Required Qualifications: The position requires a secondary school education (or equivalent) with at least 6 years of relevant experience, or a Bachelor's degree (or equivalent) with a minimum of 2 years of relevant experience. A globally recognized professional certificate or membership in Project Management is desired. Candidates should possess relevant experience in project management, administration, operational and logistical support, or related areas. Proficiency in collaboration and productivity tools, such as MS Office and G-Suite, is essential, along with demonstrated experience working independently under minimal supervision and tight deadlines. Previous experience working in Ukraine and the ability to adapt professionally and effectively in a challenging environment are also required.
Educational Background: Candidates must have a secondary school education (or equivalent) with 6 years of relevant experience or a Bachelor's degree (or equivalent) with 2 years of relevant experience. A globally recognized professional certificate or membership in Project Management is desired but not mandatory.
Experience: The role requires relevant experience in project management, administration, operational and logistical support, or related areas. Candidates should demonstrate proficiency in the use of collaboration and productivity tools, such as MS Office and G-Suite, and have experience working independently with minimal supervision and tight deadlines. Previous experience in Ukraine and the ability to adapt to a challenging environment are essential. Experience in multicultural environments or UN system organizations in a developing country is desired, as well as experience in development or humanitarian contexts.
Languages: Fluency in English and Ukrainian is required for this position. Proficiency in additional languages may be considered an asset but is not mandatory.
Additional Notes: The position is classified as an Associate level role (ICS 06) and is offered on an Individual Contractor Agreement (ICA) basis. The contract duration is three months, with the possibility of extension subject to the availability of funds and satisfactory performance.
