Job Overview: The Executive Assistant position is located within the United Nations Resident Coordination Office (RCO) in Amman, Jordan. Duties and Responsibilities: The Executive Assistant will be responsible for a wide range of duties, including but not limited to:
Ensuring effective and efficient functioning of the RC Front Office by maintaining the RC's calendar, arranging appointments and meetings, coordinating logistical and protocol arrangements, and liaising with various stakeholders.
Drafting key correspondence, managing travel logistics, and maintaining contact lists of high-level partners.
Providing administrative and communications support, including maintaining filing systems, screening incoming calls, and organizing coordination meetings.
Assisting in the organization of official UN Days and public events, providing secretariat support, and following up on commitments and deadlines.
Acting as an alternate to the RCO Administrative Assistant when required, supporting day-to-day administrative tasks, and coordinating activities of the RC driver.
Collecting and analyzing data for presentations and reports, ensuring documentation of requirements for data analysis, and performing other relevant duties as assigned.
Required Qualifications: Candidates must possess a minimum of seven (7) years of experience in executive assistance, administrative support, or front office functions at a senior management level. Experience in supporting senior officials or executive offices, including protocol arrangements, is required. Additionally, candidates should have demonstrated experience in organizing meetings, missions, and high-level events, coordinating with both internal and external stakeholders. Work experience with the United Nations, international organizations, diplomatic missions, or government institutions is desirable. Candidates with a first-level university degree will have their minimum years of relevant experience reduced by two (2) years. Experience in data analytics or related areas is also desirable.
Educational Background: Completion of a high school diploma or equivalent is required for this position. However, a Bachelor's or Advanced University Degree in Business Administration, Office Management, Communication, or related fields would be considered an advantage. This educational background is essential for understanding the complexities of administrative functions and the operational environment of the UN.
Experience: The position requires a minimum of seven (7) years of relevant experience in executive assistance, administrative support, or front office functions at a senior management level.
