Job Overview:
The Program Assistant plays a crucial role within the Global Development division, which focuses on innovative solutions to deliver health products and services to low-income countries. This position involves providing extensive administrative support to program and operations leaders, managing scheduling needs, and ensuring alignment with team priorities. The Program Assistant will leverage technology and digital tools to enhance efficiency and support knowledge management within the team. The role requires a proactive approach to calendar management, event planning, and communication with both internal and external partners, all aimed at advancing the foundation's mission in immunization and health equity.

Duties and Responsibilities:
The Program Assistant will be responsible for a variety of administrative tasks, including managing high volumes of email, tracking priorities, handling expenses, and engaging in special projects. They will provide high-level scheduling support for multiple principals, coordinating complex meetings across time zones and managing calendars. The role also involves supporting team culture initiatives, onboarding new team members, and assisting in the planning and logistics of events and meetings. Additionally, the Program Assistant will provide travel and visa support, ensuring all arrangements are made efficiently and effectively. Communication is key, as the assistant will need to maintain clear and timely communication with principals and establish relationships with grantees and partners.

Required Qualifications:
Candidates should possess a Bachelor’s degree or equivalent experience, along with some administrative experience in a fast-paced organization. Proficiency in the MS Office suite, particularly Outlook, and familiarity with AI tools like CoPilot and Chat GPT are strongly preferred. The ability to set priorities, meet deadlines, and balance multiple tasks is essential. A collaborative approach to work and a dedication to problem-solving are also important attributes for this role.

Educational Background:
A Bachelor’s degree is required, or equivalent demonstrated experience in a relevant field. This educational background should provide the foundational skills necessary for effective administrative support in a complex organizational environment.

Experience:
Candidates should have some experience in an administrative role within a complex and fast-paced organization. This experience should demonstrate the ability to manage multiple priorities and work effectively in a team setting, particularly in diverse cultural and professional contexts.

Languages:
Professional level French language capabilities are prioritized for this position, as the Program Assistant will support engagement with Francophone partners. Proficiency in English is also essential for effective communication within the organization and with external partners.

Additional Notes:
The salary range for this role is between $31.44 and $44.04 USD, with actual placement depending on the candidate's skills and experience.
