Job Overview:
The Receptionist plays a crucial role in the effective and efficient operation of the Resident Office (RO) by providing essential secretarial, clerical, and administrative support. This position serves as the first point of contact for visitors and callers, ensuring that inquiries are handled professionally and that the office environment is welcoming and secure. The Receptionist is responsible for managing incoming communications, greeting visitors, and maintaining the office's operational flow, including supplies and equipment. Additionally, the role involves adhering to safety and security" style="border-bottom: 1px dotted #007bff !important;">security protocols, monitoring access to the office, and reporting any potential risks. The Receptionist must be proactive in supporting the Resident Office staff with various clerical tasks and ensuring that the office runs smoothly on a day-to-day basis.

Duties and Responsibilities:
The Receptionist's primary responsibilities include:
  • Reception Duties (75%): - Screening and directing incoming telephone calls, taking messages when necessary. - Providing information about the organization and assisting callers with inquiries. - Greeting and receiving visitors, determining their purpose, and directing them appropriately. - Managing visitor access in accordance with security protocols, including verifying identities and issuing guest passes. - Monitoring office entry points and reporting any suspicious activity. - Preparing meeting rooms and assisting with the logistics of visiting missions. - Supporting office safety and security by following established procedures and reporting incidents. - Assisting in emergencies by guiding visitors and staff according to office protocols.
  • Clerical/Administrative Duties (25%): - Collaborating with the Admin Team to ensure smooth office operations. - Handling mail and couriers, ensuring secure processing of sensitive documents. - Maintaining accurate administrative records and assisting with ITC duties as required. - Reporting any observed security or operational risks to the appropriate personnel.

Required Qualifications:
Candidates must possess a minimum of secondary education, with a preference for university-level education. Previous experience in a receptionist or secretarial role is essential. Familiarity with office equipment such as fax machines and photocopiers is required. Candidates should demonstrate excellent verbal communication skills, a professional telephone manner, and strong interpersonal skills. Proficiency in computer applications, particularly Microsoft Word and Outlook, is necessary, along with the ability to learn new software as needed. The ideal candidate should be able to work independently and as part of a team, exhibit good organizational skills, and maintain confidentiality in handling sensitive information. A background in security or relevant training is considered an asset.

Educational Background:
The position requires a minimum of secondary education, with a preference for candidates who have completed university-level studies. This educational background is important to ensure that the candidate possesses the necessary skills and knowledge to perform the duties effectively.

Experience:
