Job Overview:
The position of Asistente de Programas involves specialized and standardized activities related to policies and programs that support the effective delivery of assistance measures. The role requires minimal supervision, where the incumbent will conduct basic analyses and compile reports to ensure the coherence of information and smooth execution of programs and projects. The Asistente de Programas will be responsible for supporting project management and general office support while adhering to established goals and applying WFP's policies and procedures. This position is crucial in collecting data, supporting analysis, and reporting on food assistance needs, resource utilization, and program progress, thereby facilitating operational decision-making. The role also includes maintaining effective communication with partners and stakeholders, ensuring that WFP can respond promptly to emergencies and provide necessary resources to affected areas.

Duties and Responsibilities:
  • Conduct specialized and standardized activities within the technical area, ensuring alignment with broader program policies and guidelines.
  • Provide project management support and general office assistance, considering established goals and applying WFP policies and procedures.
  • Collect data and support analysis and reporting on food assistance needs, resource utilization, and program progress to support operational decision-making.
  • Maintain accurate and timely data records within the technical area, applying institutional standards and guidelines.
  • Collaborate and exchange information with internal counterparts to support effective implementation and monitoring of ongoing project activities.
  • Assist in communication activities with partners, agencies, NGOs, and local public institutions.
  • Serve as a point of contact for general inquiries regarding operations and seek assistance when necessary.
  • Follow standard emergency preparedness practices to ensure WFP can respond quickly and deploy resources to affected areas at the onset of a crisis.
  • Support the development of programs and methodologies, concept notes, reports, memos, and meeting minutes in the area of performance. 1
  • Facilitate the tracking of the work agenda within the area of responsibility. 1
  • Maintain assertive communication with partners, government agents, and collaborators, demonstrating empathy towards the context of beneficiary populations. 1
  • Collaborate with monitoring, budgeting, and logistics teams in tracking procurement processes.

Required Qualifications:
The minimum required qualifications for this position include the completion of pre-university education. A certificate of post-secondary education in the relevant functional area is desirable. Candidates should possess a strong understanding of the functional area and demonstrate the ability to work effectively within a team and independently. Additionally, candidates should have a solid grasp of WFP's policies and procedures, particularly in relation to program management and food assistance.

Educational Background:
Candidates are required to have completed their pre-university education. A post-secondary education certificate in a relevant functional area is highly valued and may enhance a candidate's application. This educational background should provide a foundation in the necessary skills and knowledge required for effective performance in the role.

Experience:
Candidates must have a minimum of five years of experience in the relevant functional area. This experience should demonstrate a solid understanding of project management, data analysis, and reporting within the context of humanitarian assistance and food security. Experience in collaborating with diverse teams and stakeholders is also essential, as is the ability to adapt to changing circumstances and work effectively under pressure.

Languages:
Fluency in Spanish is mandatory for this position, as it is the primary language of communication. An intermediate level of English is desirable, as it may facilitate communication with international colleagues and stakeholders. Proficiency in additional languages may be considered an asset, enhancing the candidate's ability to engage with a broader range of partners and beneficiaries.

Additional Notes:
This position is classified as a Fixed Term contract at Grade G5, based in Havana, Cuba. The contract duration is for 12 months, with the possibility of extension based on organizational requirements.
