Job Overview:
The position of Administrative Support to the Executive Board Secretariat involves providing essential support to the Executive Board, which consists of 41 elected Member States of the United Nations. The role requires assisting in the preparation of documentation, coordinating inter-governmental negotiations, and facilitating logistical arrangements for Executive Board sessions and meetings. The incumbent will work closely with the Secretary of the Executive Board and the Secretariat team to ensure smooth operations and effective communication within the organization. Duties and Responsibilities:
The incumbent will perform a variety of tasks under the direct supervision of the Secretary of the Executive Board, including: preparing briefing notes, talking points, and draft correspondence; coordinating the substantive preparations of documentation for Executive Board meetings; maintaining and updating the Executive Board website; managing the Executive Board's social media accounts; acting as the scheduling officer for the Secretary; supporting inter-agency coordination; organizing Advisory Committee on Oversight (ACO) meetings; and providing logistical support for official sessions and informal briefings. The role also involves ensuring timely communication and documentation management, updating distribution lists, and assisting with travel arrangements for Executive Board missions. The candidate will be expected to handle ad-hoc requests and maintain a high level of professionalism and confidentiality throughout all tasks.

Required Qualifications:
Candidates must possess a Master's degree or equivalent in political sciences, social sciences, international relations, law, government, or a related field. Alternatively, a Bachelor's degree with an additional two years of relevant experience will be accepted. A minimum of one year of experience in administration, inter-agency coordination, or intergovernmental processes at the national or international level is required. Familiarity with the United Nations system, particularly with UNDP, UNFPA, UNOPS, UNICEF, or WFP, is considered an asset. Proficiency in using office software packages and web-based management systems is essential, along with experience in documentation processing and communications.

Educational Background:
The educational requirement for this position includes a Master's degree in a relevant field such as political sciences, social sciences, international relations, law, or government. In lieu of a Master's degree, candidates with a Bachelor's degree accompanied by two additional years of relevant experience will be considered. This educational background is crucial for understanding the complexities of intergovernmental processes and the operational framework of the United Nations.

Experience:
The position requires at least one year of relevant experience in administration, inter-agency coordination, or intergovernmental processes at either the national or international level. Experience working within the United Nations system, especially with its various funds and programs, is highly desirable. Candidates should demonstrate a proven ability to manage documentation and communications effectively, as well as experience in logistical coordination for meetings and events.

Languages:
Fluency in English, both oral and written, is mandatory for this position. Additionally, a working knowledge of another UN official language is considered a strong advantage, enhancing the candidate's ability to communicate effectively in a multilingual environment.
