Job Overview:
The Guesthouse Management Support position is crucial for the effective day-to-day delivery of specialized, client-focused services within the Management Services portfolio. The role primarily focuses on guesthouse management, ensuring that all accommodation services are delivered efficiently and in compliance with WFP policies and local regulations. The successful candidate will be responsible for coordinating administrative and technical support, preparing performance reports, maintaining accurate records, and overseeing guesthouse staff. This position requires a proactive approach to problem-solving and the ability to enhance operational efficiency while ensuring a high level of customer service. Duties and Responsibilities:
The duties and responsibilities of the Guesthouse Management Support position include:
  • Coordinating administrative and technical support within the Management Services portfolio to ensure efficient service delivery related to guesthouse management.
  • Preparing performance reports and dashboards, including trend analysis and corrective actions for identified gaps.
  • Ensuring compliance of accommodation services such as booking, billing, cleaning, catering, maintenance, security, utilities, transport, and internet with WFP policies and local regulations.
  • Overseeing guesthouse staff and coordinating with relevant departments to ensure safe and efficient facility operations.
  • Maintaining accurate records of expenditures, revenues, and inventories in corporate systems, and issuing guest accommodation invoices for timely submission to Finance.
  • Conducting monthly room checks to ensure cleanliness and functionality of amenities, reporting maintenance issues, and overseeing repairs.
  • Keeping well-organized records and documentation of all accommodation-related activities for audit and compliance purposes.
  • Providing support for security-related relocations and evacuations of staff.
  • Monitoring resource needs and identifying new requirements to enhance operational efficiency. 1
  • Collating and analyzing data to prepare reports that contribute to decision-making and resource management. 1
  • Reviewing and recommending improvements to procedures for continuous service enhancement. 1
  • Providing timely resolutions to complex queries to ensure efficient service delivery. 1

  • Ensuring adherence to approved Guesthouse Management Standard Operating Procedures (SOPs). 1

Required Qualifications:
The required qualifications for the Guesthouse Management Support position include:
  • An advanced university degree in Business/Public Administration or a relevant field related to office management and administration.
  • Alternatively, a first university degree in the same fields with additional years of related work experience and/or training/courses may be considered.
  • Strong organizational and analytical skills, with proficiency in budget monitoring and report preparation.
  • Excellent communication and interpersonal skills, with the ability to work effectively in a multicultural environment.
  • Familiarity with WFP policies and procedures is an advantage, as well as experience in guesthouse management or similar roles.

Educational Background:
Candidates must possess an advanced university degree in Business/Public Administration or a relevant field related to office management and administration. A first university degree in the same fields, combined with additional years of relevant work experience and/or training, may also be acceptable. This educational background is essential to ensure that the candidate has the necessary knowledge and skills to perform the duties associated with guesthouse management and administrative support effectively.

Experience:
Candidates should have at least three years of relevant experience in business support, administration, or operational management, preferably within the UN system or international organizations. This experience should demonstrate the candidate's ability to manage complex administrative tasks, coordinate with various stakeholders, and ensure compliance with organizational policies and procedures. Experience in guesthouse management or similar roles will be particularly beneficial for this position.

Languages:
The mandatory language requirement for this position is proficiency in English. Knowledge of French is considered a good-to-have skill, as it will enhance communication and collaboration within the multicultural environment of WFP and with local stakeholders.
