Job Overview: The Finance Assistant plays a crucial role in managing daily financial records, transactions, and reporting within Relief International. This position requires a detail-oriented individual who can ensure compliance with financial procedures and maintain accurate financial documentation. The Finance Assistant will be responsible for processing payments, verifying expenditures, and maintaining financial records. This role is essential for supporting the financial integrity of the organization and ensuring that resources are used effectively and efficiently. The Finance Assistant will also assist in preparing for internal and external audits, ensuring that all financial documents are complete and readily available. This position is vital for maintaining the financial health of the organization and supporting its mission to aid vulnerable communities.
Duties and Responsibilities: The Finance Assistant will be responsible for the following duties:
Process all payments in accordance with Relief International's finance procedures and checklist, ensuring that all supporting documents are complete before payment is made.
Prepare payment vouchers for each transaction and verify that expenditures are correctly coded and approved as per the Approval Matrix.
Daily capture of Petty Cash, Bank, and Working Cash Advance (WCA) transactions on an Offline Spreadsheet, reconciling these with the Petty Cash, Bank, and WCA register balances.
Conduct weekly cash book updates, cash counts, and reconciliations of salaries and NSIFs, and maintain an updated WCA Tracker.
Ensure that staff with outstanding WCA settle their accounts within 7 working days upon returning from missions.
Scan and upload all finance documents to the shared OneDrive on a monthly basis, reviewing them for completeness according to the Finance Checklist.
Assist during internal and external audits by providing necessary documents and implementing recommendations related to finance.
Organize and plan weekly and monthly cash counts, filing signed records appropriately.
Ensure that all financial documents are properly filed and labeled for easy access and transfer to central archives as needed. 1
