Job Overview: The Administrative Assistant role is crucial for providing essential administrative and operational support to the Surging Women’s Employment Flagship Initiative (SWEI) in the Green, STEM, and Care Economies. This initiative aims to increase women's employment in the Arab States region by 5% by 2030 through innovative and collaborative approaches. The Administrative Assistant will report directly to the Director of SWEI and will be responsible for ensuring the effective functioning of the SWEI team and the delivery of program activities. This includes managing travel arrangements, procurement, contract administration, and providing logistical support for meetings, workshops, and events. The role requires a proactive approach to assist in the preparation of program work plans and proposals, as well as supporting the execution of routine delivery and reporting of program activities and finances.
Duties and Responsibilities: The Administrative Assistant will have a wide range of duties and responsibilities, including but not limited to: providing administrative and logistical support for the formulation and management of programs; assisting in the preparation of program work plans and proposals; supporting executing partners with routine delivery and reporting of program activities; aiding in the audit of programs/projects and implementing audit recommendations; gathering and compiling data for documents, guidelines, speeches, and position papers; managing meetings for the Director of SWEI, including organizing meetings, setting agendas, and preparing background notes; making travel arrangements for the program team; drafting minutes of meetings; organizing and coordinating filing of documents; maintaining mailing lists; compiling and processing documentation from donors; and providing administrative support for training organization for office personnel and partners.
Required Qualifications: The position requires the completion of secondary education as a minimum, with a Bachelor’s degree in business or public administration being desirable. Candidates should have at least 5 years of progressively responsible experience in administrative or program management/support. Proficiency in working within a computer environment using multiple office software packages is essential, and experience with ERP systems, preferably Oracle Cloud, is desirable. Additionally, experience in supporting a team is considered beneficial.
Educational Background: Candidates must have completed secondary education, with a preference for those holding a Bachelor’s degree in business or public administration. This educational background is essential for understanding the administrative and operational aspects of the role and for effectively supporting the SWEI initiative.
Experience: The role requires a minimum of 5 years of progressively responsible experience in administrative or program management/support. This experience should include working in a computer environment with multiple office software packages and familiarity with ERP systems, ideally Oracle Cloud. Experience in supporting a team is also desirable, as it demonstrates the ability to work collaboratively and effectively within a team setting.
Languages: Fluency in Arabic and English is mandatory for this position, as effective communication in both languages is crucial for the role. Knowledge of another official UN language, such as French, is considered desirable and may enhance a candidate's profile.
