Job Overview: As a member of a multi-sector humanitarian project team, the Assistant(e) de Projet – E-Voucher will provide administrative, logistical, and operational support for the implementation of activities related to electronic voucher assistance (e-vouchers). Reporting to the E-Voucher Project Manager, the assistant will contribute to the effective execution of project activities by supporting operational coordination, administrative management, and documentation of activities on the online e-voucher management platform (RedRose). The role requires a strong organizational ability and a service-oriented mindset to ensure efficient resource management and the delivery of quality interventions benefiting targeted communities. The assistant will play a crucial role in facilitating communication among project team members, local partners, vendors, and other stakeholders involved in project implementation, thereby enhancing the overall effectiveness of the project.
Duties and Responsibilities: The key responsibilities of the Assistant(e) de Projet – E-Voucher include supporting the organization and implementation of project activities related to e-vouchers, such as field activities including vendor registration and training, distributions, and post-distribution monitoring. The assistant will also support logistical and administrative coordination of project activities, including preparing operational documents (such as authorized goods lists, updating vendor phone numbers, and reconciling data on the e-voucher platform for program and finance teams). Additionally, the assistant will manage, compile, and enter data related to e-voucher activities, ensuring the quality and consistency of collected information. The role involves preparing administrative documents related to e-voucher activities (payment requests, mission authorizations, field advances, etc.), facilitating communication and coordination among project team members, local partners, vendors, and other stakeholders. The assistant will contribute to the logistical preparation and organization of meetings, workshops, and field activities (including reservations, invitations, note-taking, and reporting). Proper filing and archiving of project documentation in accordance with CRS procedures and donor requirements is also a critical responsibility. Furthermore, the assistant will support the collection of information and documentation of project activities to contribute to reports, case studies, and lessons learned, and will assist in implementing accountability mechanisms for affected populations, including facilitating the transmission of complaints and feedback from beneficiaries to the project team.
Required Qualifications: The position requires a secondary school diploma as a minimum, with a university or technical degree in administration, project management, social sciences, or a related field being an asset. Candidates should possess strong organizational skills and the ability to manage multiple tasks simultaneously, with attention to detail and rigor in task execution. Good interpersonal skills and the ability to work effectively within a team are essential, along with a proactive attitude focused on service and results. Proficiency in MS Office tools (Word, Excel, PowerPoint) and good computer skills are also required. Experience working with a national or international NGO, particularly in humanitarian projects or security" style="border-bottom: 1px dotted #007bff !important;">security" style="border-bottom: 1px dotted #007bff !important;">food security, is preferred. Familiarity with cash transfer assistance or voucher approaches (CVA) is considered an advantage.
Educational Background: The educational background required for this position includes a minimum of a secondary school diploma. A university or technical degree in administration, project management, social sciences, or a related field is preferred and considered an asset for candidates applying for this role.
Experience: Candidates should have a minimum of 1 to 3 years of professional experience in an administrative role or in supporting project implementation. Experience working with NGOs, particularly in humanitarian or food security projects, is highly desirable. Familiarity with data collection or monitoring of field activities is also beneficial for this position.
Languages: The mandatory language requirement for this position is French. Proficiency in Swahili and relevant local languages for the project's intervention area is also required, as effective communication with local stakeholders is essential for the role.
Additional Notes: The position may require up to 80% travel to project implementation areas. The role does not involve supervisory responsibilities. The successful candidate is expected to adhere to CRS's Code of Conduct and participate in safeguarding measures to protect program participants, community members, staff, and volunteers from exploitation and abuse.
