Job Overview: The Human Resources Assistant position is integral to the FAO Shared Services Centre in Budapest, Hungary. This role involves coordinating and performing a comprehensive range of human resources support functions. The incumbent is responsible for ensuring the quality, transparency, and consistency of data and processes within their area of responsibility. The Human Resources Assistant contributes to the smooth functioning of human resources operations by managing personnel actions, analyzing complex HR requests, and providing guidance to other HR support staff. The position requires a proactive approach to problem-solving and the ability to work independently while adhering to organizational timelines and quality standards.
Duties and Responsibilities: The Human Resources Assistant will be tasked with a variety of duties, including but not limited to: coordinating support services related to staff employment and mobile workforce; initiating personnel actions such as appointments, extensions, and transfers; analyzing and processing complex HR requests related to entitlements and benefits; supporting the briefing and de-briefing of staff; communicating with applicants and preparing offers/terms of employment; collecting and researching background information; drafting correspondence, reports, and statistics related to HR functions; maintaining and updating confidential personnel records; investigating and resolving payment inquiries in collaboration with finance staff; training and providing guidance to other HR support staff; participating in the preparation and delivery of training materials; and performing other duties as required. The incumbent's work directly impacts the smooth operations and quality of output of the work unit, playing a crucial role in the provision of HR support services.
Required Qualifications: Candidates must possess a secondary school education and have a minimum of four years of relevant experience in administrative and human resources support work. A working knowledge of English at proficiency level C is required, along with very good knowledge of MS Office applications and office technology equipment. Candidates must also be nationals of Hungary or possess an existing visa/work permit and reside within commuting distance of the duty station at the time of application.
Educational Background: The educational requirement for this position is a secondary school education. This foundational education is essential for understanding the administrative and human resources processes that the incumbent will be involved in.
