Job Overview:
The Programme Support Assistant (Protection) will play a crucial role in supporting the effective implementation of IOM Hungary's protection programmes. This position involves providing administrative, coordination, and technical support under the guidance of the Head of Office and the Senior Project Associate. The incumbent will assist in various tasks including data management, stakeholder coordination, and donor reporting inputs. The role requires ensuring compliance with IOM policies and donor requirements while assisting in the implementation and monitoring of project activities. The Programme Support Assistant will also be responsible for compiling, summarizing, analyzing, and presenting information on specific project topics, monitoring budgets, and verifying the availability of funds. This position is integral to maintaining effective communication and coordination among diverse organizational units and external parties, ensuring that project implementation runs smoothly and efficiently.

Duties and Responsibilities:
The duties and responsibilities of the Programme Support Assistant (Protection) include:
  • Providing administrative support for the implementation of protection programmes, including data management and stakeholder coordination.
  • Assisting in donor reporting by compiling necessary inputs and ensuring compliance with IOM policies.
  • Monitoring project activities and budgets, verifying fund availability, and updating budget-related information.
  • Acting as a focal point for administrative coordination, liaising with various organizational units and external parties to initiate requests and process administrative actions.
  • Drafting status reports and correspondence related to project issues, identifying shortfalls in delivery, and suggesting remedial actions.
  • Organizing meetings, workshops, and training sessions, and participating in conferences to coordinate implementation activities with local authorities and partners.
  • Monitoring the work of implementing partners and reporting any non-compliance to the supervisor.
  • Providing guidance and training to new or junior staff members.
  • Performing other related duties as assigned by the supervisor.

Required Qualifications:
The required qualifications for the Programme Support Assistant (Protection) position include:
  • A school diploma with four years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with two years of relevant professional experience.
  • Familiarity with migrant rights, counter-trafficking, gender-based violence prevention, and child protection is essential.
  • Experience in data collection, reporting, and database management is required.
  • Proven experience in liaising with government entities, NGOs, and private sector stakeholders is necessary.
  • Knowledge of IOM and UN social integration policies is considered an asset, as is familiarity with the implementation of EU-funded projects.

Educational Background:
Candidates must possess either a school diploma with four years of relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, or Law from an accredited institution. Accredited Universities are those listed in the UNESCO World Higher Education Database, ensuring that the educational background aligns with the requirements of the position.

Experience:
The position requires candidates to have experience in protection programmes and working with vulnerable populations. This includes familiarity with issues related to migrant rights, counter-trafficking, and gender-based violence prevention. Candidates should also have previous experience in data collection, reporting, and database management, as well as experience in liaising with government entities, NGOs, and private sector stakeholders. Knowledge of IOM and UN social integration policies is an asset, and familiarity with the implementation of EU-funded projects is also beneficial.

Languages:
Fluency in English and Hungarian is required for this position, both oral and written. IOM's official languages include English, French, and Spanish, and proficiency in these languages may be evaluated during the selection process, which could include written and/or oral assessments.

This position is subject to local recruitment, meaning only candidates holding a valid residence and work permit for Hungary will be considered.
