Job Overview: The Administration Officer position is part of the EpiC MNCH+N Project in Mozambique, specifically aimed at enhancing maternal, neonatal, and child health outcomes. This role is crucial for ensuring that the project team operates efficiently by managing administrative and human resources functions. The Administration Officer will be responsible for drafting correspondence, organizing meetings, maintaining both physical and electronic files, and distributing necessary equipment and materials. The selected candidate will work closely with the Senior Operations Officer and will be based in Quelimane, Zambezia, contributing to the project's goal of institutionalizing a culture of quality improvement in collaboration with government partners.
Duties and Responsibilities: The Administration Officer will have a wide range of responsibilities including: managing consumables and materials for the FHI 360 Quelimane provincial offices; ensuring all employees have the necessary work materials and equipment; contributing to transparency in procurement processes; maintaining up-to-date documentation related to office operations; handling travel logistics for project staff; developing recommendations for internal management systems; supervising administrative staff; coordinating with the Finance team to ensure compliance with security" style="border-bottom: 1px dotted #007bff !important;">security-policies" style="border-bottom: 1px dotted #007bff !important;">security policies; overseeing hotel reservations and event organization; managing the timesheet process; ensuring proper reception duties; managing the procurement process; maintaining office supplies; participating in the hiring process for temporary staff; and training new employees in administrative processes.
Required Qualifications: Candidates must possess an Associate's degree in a field related to administration, management, or finance. A minimum of 5 years of relevant practical experience is required, with a preference for candidates who have experience working with NGOs funded by the U.S. government. Proficiency in Microsoft Office applications such as Excel, Access, PowerPoint, Word, and Outlook is essential. Fluency in both Portuguese and English is mandatory, as effective communication in these languages is crucial for the role.
Educational Background: The position requires an Associate's degree in a relevant field such as administration, management, or finance. This educational background is essential for understanding the administrative and operational functions necessary for the role of Administration Officer.
Experience: The ideal candidate should have at least 5 years of relevant practical experience in administrative roles, particularly within the context of NGOs or similar organizations. This experience should demonstrate the ability to manage administrative tasks effectively and contribute to the overall efficiency of project operations.
