Job Overview: The Executive Assistant plays a crucial role in supporting the Director of ER, People Solutions & Advisory by managing administrative and secretarial tasks that ensure the smooth operation of the Director's business activities. This includes extensive travel planning, diary management, and handling a variety of ad-hoc tasks. The position requires a proactive approach to managing the Director's schedule and responsibilities, ensuring that all tasks are completed efficiently and effectively. The Executive Assistant will also be involved in organizing departmental events, preparing documents, and maintaining comprehensive filing systems, which are essential for the Director and the team to function optimally. The role demands a high level of discretion and confidentiality, as the Executive Assistant will be privy to sensitive information and will need to exercise sound judgment in all interactions.
Duties and Responsibilities: The Executive Assistant will be responsible for a wide range of duties, including but not limited to: conducting all secretarial and administrative duties for the Director, such as diary management, email management, call screening, meeting and room bookings, taking minutes, and handling all correspondences. The role also involves arranging travel according to EBRD policy, including visas, accommodation, currency ordering, and preparing itineraries. The Executive Assistant will organize departmental events, prepare team-related documents, maintain comprehensive filing systems, check travel expense reports, support budgetary functions, and act as a departmental coordinator for various administrative tasks. Additionally, the Executive Assistant will assist in the recruitment and training of secretarial staff, coordinate team submissions, and conduct ad-hoc tasks assigned by the Line Manager. The position requires direct accountability for the engagement and management of the team, ensuring high standards of integrity and ethical conduct are maintained.
Required Qualifications: Candidates must possess secondary/high school education, with relevant secretarial or business qualifications being an advantage. Fluency in English, with excellent written and oral communication skills, is mandatory. Knowledge of another language such as Russian, German, French, or Arabic is considered beneficial. Candidates should have essential secretarial and administrative experience, particularly in supporting senior executives within an HR or People function. Proven experience in handling confidential information with discretion is crucial, along with strong organizational skills, attention to detail, and a proactive, reliable attitude. Good communication and interpersonal skills are necessary, as is the ability to work efficiently under pressure and manage multiple tasks.
Educational Background: The educational background required for this position includes at least secondary/high school education.
