Job Overview: The Office Helper (OH) position is crucial for maintaining the operational efficiency of the FAO Representation in Indonesia. The incumbent will be responsible for providing reliable office support services that ensure a clean, safe, and well-functioning working environment. This role involves daily cleaning and maintenance of the office premises, assisting with administrative tasks, managing office supplies, and ensuring compliance with safety and security standards. The Office Helper will work under the direct supervision of the Assistant FAO Representative (Administration) and will coordinate closely with the Administration and Operations Unit. The position requires a proactive approach to maintaining office cleanliness and supporting the administrative needs of the office, contributing to a professional atmosphere conducive to productivity.
Duties and Responsibilities:
Office Maintenance & Cleanliness: a. Perform daily cleaning and tidying of workspaces, meeting rooms, pantry, and common areas. b. Ensure washrooms and kitchen areas are hygienic and well-stocked with supplies. c. Properly dispose of waste and recycling materials. d. Monitor and report any maintenance or repair needs (e.g., electrical, plumbing, furniture).
Supporting Office Staff: a. Assist with general administrative tasks such as photocopying, scanning, etc. b. Help in the preparation and organization of office materials, office files, and document archives (both physical and electronic). c. Register incoming and outgoing correspondence, parcels, official documents, and courier services. d. Assist staff in retrieving administrative documents and records when required.
Pantry & Hospitality Services: a. Prepare and serve tea, coffee, and refreshments for staff and visitors as required. b. Maintain cleanliness and stock of pantry supplies. c. Ensure common office areas are orderly and ready for use.
Office Supplies & Inventory Management: a. Monitor and maintain office supplies (stationery, cleaning materials, pantry items). b. Inform the Office Manager when supplies need to be reordered.
Required Qualifications: • Completed High school diploma or equivalent. • At least 3 years of relevant experience in office support, cleaning, or facility maintenance. • Working knowledge of English. • National of Indonesia. Candidates will be assessed against the following criteria: • Basic understanding of workplace safety, hygiene, and administrative tasks. • Reliable, punctual, and able to follow instructions with minimal supervision. • Good communication and interpersonal skills for interacting with staff, visitors, and building management. • Ability to perform physical tasks (lifting, cleaning, running errands) as required.
Educational Background: The position requires a completed high school diploma or an equivalent qualification. It is essential that the educational qualifications are obtained from an institution accredited or recognized in the World Higher Education Database (WHED), which is maintained by the International Association of Universities (IAU) and UNESCO.
Experience: Candidates should have at least 3 years of relevant experience in office support, cleaning, or facility maintenance. This experience should demonstrate the ability to perform the duties outlined in the job description effectively and efficiently, ensuring a high standard of office maintenance and support.
Languages: A working knowledge of English is mandatory for this position. Proficiency in additional languages may be considered an asset but is not explicitly required.
