Job Overview: The Admin and Finance Associate will play a crucial role in supporting the implementation of a project aimed at enhancing biodiversity conservation in Yemen's coastal governorates. This position requires a strong focus on financial management, administrative support, and programmatic assistance. The associate will work closely with the Project Manager and project staff to ensure high-quality, accurate, and consistent work. The role involves managing financial records, ensuring compliance with UNDP regulations, and providing logistical support for project activities. The associate will also contribute to knowledge building and support gender equality initiatives within the project framework.
Duties and Responsibilities:
Financial Management and Implementation of Operational Strategies: Ensure compliance with UN/UNDP financial regulations, maintain accurate financial records, oversee project expenditures, and prepare financial reports.
Provide administrative, travel, and logistical support: Manage procurement processes, organize conferences and workshops, and handle travel arrangements.
Facilitate knowledge building: Participate in training sessions and contribute to knowledge networks.
Support Gender Equality and Women’s Empowerment: Ensure gender considerations are integrated into financial and administrative processes.
Maintain accurate financial and personnel records, manage project documentation, and assist in audit preparations.
Monitor budget implementation and recommend reallocations as necessary.
Serve as the audit focal person and manage annual audit exercises.
Support the preparation of annual and quarterly work plans and budgets in consultation with the Project Manager.
Required Qualifications:
Education: Secondary education is required; a university degree in accounting, finance, administration, economics, or a related field is preferred.
Experience: Minimum of 7 years of relevant work experience with secondary education or 4 years with a Bachelor’s degree in finance and administration.
Skills: Proficiency in ICT, experience with office software (MS Word, Excel), and knowledge of web-based management systems.
Knowledge of UNDP program management procedures and policies is an asset.
Knowledge in biodiversity is a strong advantage.
Educational Background: A secondary education is required for this position, but a university degree (Bachelor’s degree) in accounting, finance, administration, economics, or a related field will be given due consideration. This educational background is essential for understanding the financial and administrative aspects of the role and for effectively managing project resources.
Experience: The position requires a minimum of 7 years of relevant work experience in finance and administration for candidates with secondary education, or 4 years for those with a Bachelor’s degree. This experience should include progressive responsibilities in financial management, administrative support, and programmatic assistance, ideally within the context of international organizations or development projects.
Languages: Fluency in English and Arabic, both written and oral, is mandatory for this position. Proficiency in these languages is essential for effective communication within the project team and with stakeholders, as well as for the preparation of reports and documentation.
Additional Notes: The Admin and Finance Associate will be based in UNDP’s sub-office in Aden, Yemen. This position is full-time and may involve working in a challenging environment due to the ongoing conflict in the region.
