Job Overview:
The Business Support Assistant position within WFP Palestine’s Supply Chain Unit is designed to provide essential support in various operational areas. The role involves delivering standard business support processes and facilitating effective service delivery within the designated team. Depending on the candidate's profile and the needs of the program, the selected individual may be allocated to one of several teams, including Funds Management, Information Management, Procurement, or On Demand Support (ODS). Each team has specific functions, such as supporting invoice processing, managing operational data, assisting with procurement processes, and providing logistics services. The Business Support Assistant will play a crucial role in ensuring that WFP's operations run smoothly and efficiently, contributing to the organization's mission of providing life-saving assistance to vulnerable populations in Palestine. This position offers an opportunity to engage with a diverse team and make a meaningful impact in a challenging humanitarian context.

Duties and Responsibilities:
The Business Support Assistant will be responsible for a variety of tasks aimed at supporting the Supply Chain Unit's operations. Key duties include gathering information to assist in drafting documents and preparing reports, responding to queries from clients and escalating issues as necessary, processing and managing routine administrative and financial tasks, and maintaining standard systems and files to ensure information accuracy. The assistant will also be tasked with identifying discrepancies in data and reporting them to senior staff, ensuring data integrity in corporate systems, and providing guidance to junior colleagues on business support methods. Additional responsibilities may include assisting with logistics and fuel service delivery, managing vendor updates, and ensuring compliance with procurement processes. The role requires a proactive approach to problem-solving and the ability to work collaboratively with various stakeholders to achieve operational goals.

Required Qualifications:
Candidates must possess a completion of secondary school education, with a post-secondary certificate in Logistics, Procurement, Supply Chain, Administration, or other relevant fields being desirable. Proficiency in the use of office equipment and computer software packages, particularly Microsoft Word, is essential. The ability to work independently with minimal supervision, demonstrate tact and courtesy in communication, and identify and rectify data discrepancies is also required. Strong organizational skills and attention to detail are critical for success in this role, as is the ability to work effectively in a team environment.

Educational Background:
The minimum educational requirement for this position is the completion of secondary school education. However, candidates with a post-secondary certificate in relevant fields such as Logistics, Procurement, Supply Chain, or Administration will be preferred. This educational background will provide the foundational knowledge necessary for understanding the complexities of supply chain operations and business support processes within WFP.

Experience:
Candidates should have a minimum of four years of progressively responsible working experience in Logistics, Procurement, Supply Chain, Administration, or other relevant fields. This experience should demonstrate a solid understanding of business support functions and the ability to manage administrative tasks effectively. Previous experience in a humanitarian or development context is advantageous, as it provides insight into the operational challenges faced by organizations like WFP.

Languages:
Fluency in both English and Arabic is mandatory for this position, with a proficiency level of C in both languages. This bilingual capability is essential for effective communication within the diverse team and with various stakeholders in the region. Knowledge of additional languages may be considered an asset but is not required.

Additional Notes:
The position is offered under a Service Contract for a duration of 12 months, with the possibility of renewal based on performance and organizational needs. It is important to note that this position is only open to nationals or residents with a legal permit/ID to work in Jerusalem.
