Job Overview:
The position of Roster Asistente Senior Administrativo/a de Seguridad is crucial within the Security Unit of WFP in Bogota. The incumbent will be responsible for managing a range of administrative and operational processes related to security, requiring a certain level of interpretation of guidelines and standard practices. This role involves coordinating with various stakeholders, including UN security personnel, donors, and NGOs, to facilitate safe program execution and mitigate risks to personnel and resources. The position demands flexibility, as it may require working different shifts and responding to work demands on short notice. The incumbent will report directly to the Security Officer and will play a key role in ensuring that security measures are effectively implemented and adhered to, contributing to the overall safety and security of WFP operations in Colombia.

Duties and Responsibilities:
  • Manage all administrative procedures in each phase of procurement, purchasing, and awarding of items, equipment, training, etc., required by the Security Unit at local, regional, or national levels.
  • Maintain databases related to personnel, training, office access, and manage processes for entry, updates, and purging of these records.
  • Act as a liaison, closely coordinating with UNDSS, UN security personnel, donors, INGOs, and other agents to facilitate coordination and access for program execution under safe conditions and to mitigate risks that could threaten personnel and resources.
  • Assist in planning, coordinating, preparing, and eventually conducting field missions according to the respective Standard Operating Procedures (SOP), including monitoring personnel on missions and conducting periodic security situation assessments to ensure safe and effective program execution.
  • Prepare detailed security assessment reports after field missions, containing recommendations to mitigate risks, contributing to the analysis of the security situation and facilitating decision-making.
  • Support the WFP Security Officer in formulating advice for the director" style="border-bottom: 1px dotted #007bff !important;">Country Director regarding administrative risk management and security issues, in accordance with the United Nations Security Management System (UNSMS).
  • Assist in implementing all security risk management measures established in the respective area, ensuring compliance with minimum standards.
  • Help manage and maintain security equipment and identify new needs to strengthen technological capacity in line with WFP operational requirements in the field.
  • Ensure that all access control procedures are effective and strictly adhered to by all staff and visitors, ensuring accountability and maintaining a safe and secure environment. 1
  • Contribute to refining and updating emergency and contingency planning documentation, including material preparations and procedures to support crisis preparedness activities. 1
  • Assist in identifying training needs in security to help plan and implement relevant training to meet staff development needs. 1
  • Supervise and provide on-the-job training to other staff, supporting their professional development and performance.

Required Qualifications:
Minimum qualifications include the completion of secondary education, with a desirable professional degree in military sciences, police administration, management, or related fields. Candidates should possess a minimum of five (5) years of progressively responsible experience in administrative support related to security management and operations. Experience in information analysis and management of various databases, statistics, and their administrative application is essential. Familiarity with technical procedures related to security operations and procedures is also required. Experience working in an international organization or within the United Nations system is highly valued, as is proficiency in radio communication.

Educational Background:
Candidates must have completed secondary education, with a preference for those holding a professional degree in relevant fields such as military sciences, police administration, or management. This educational background is essential to ensure that candidates possess the foundational knowledge necessary for the role.

Experience:
The position requires a minimum of five (5) years of experience in administrative support related to security operations, with increasing responsibilities over time. Candidates should demonstrate experience in analyzing information and managing databases, as well as applying technical knowledge related to security procedures. Previous experience in an international organization or the UN system is considered an asset, particularly if it includes experience with radio communication.

Languages:
Fluency in Spanish is required for this position, as it is the primary language of communication within the organization and with local stakeholders. Proficiency in English is highly desirable, as it facilitates communication with international colleagues and partners, enhancing collaboration and operational effectiveness.

The contract duration for this position is six (6) months, with the possibility of extension. The contractual modality is a Service Contract (SC) at level SC L
