Job Overview:
The Operations Assistant position is integral to the Regional Cooperation and Integration and Trade Division (CCRC) within the Climate Change and Sustainable Development Department (CCSD) at ADB. This role involves a comprehensive range of technical and administrative duties that support the division's technical assistance (TA) activities and research initiatives. The Operations Assistant will be responsible for managing project information, maintaining databases, and providing essential administrative support to supervisors and team members. The position requires a proactive approach to coordinating knowledge events, liaising with various stakeholders, and ensuring the smooth execution of division activities. The Operations Assistant will also play a key role in compiling and analyzing data related to the division's research outputs, preparing reports, and assisting in the administration of TA projects. This role is crucial for facilitating effective communication and collaboration within the division and with external partners, ultimately contributing to ADB's mission of fostering sustainable development in the region.

Duties and Responsibilities:
The Operations Assistant will undertake a variety of duties and responsibilities, including but not limited to: supporting knowledge events through logistical coordination and communication with cooperating agencies; collecting and compiling relevant information and data for research outputs; providing administrative support for TA administration, including consultant engagement and budget monitoring; preparing and finalizing correspondence, reports, and documentation in accordance with ADB standards; coordinating logistics for missions and team events; managing supervisors' schedules and travel arrangements; collaborating with team members to ensure timely completion of tasks; and performing any other duties as assigned in the workplan. This role requires a high level of organization, attention to detail, and the ability to manage multiple tasks effectively.

Required Qualifications:
Candidates for the Operations Assistant position must possess a Bachelor's degree and have at least 5 years of relevant professional experience, particularly in operations within multilateral development banks or similar organizations. Applicants should have experience in preparing reports, presentations, or manuals for management review, as well as a good working knowledge of consultant engagement and contract management. Proficiency in productivity tools, databases, and applications commonly used in multilateral organizations is essential. Candidates should also demonstrate strong written and verbal communication skills in English, along with the ability to manage multiple tasks and collaborate effectively with individuals from diverse backgrounds.

Educational Background:
The minimum educational requirement for the Operations Assistant position is a Bachelor's degree. This educational background should ideally be complemented by relevant professional experience in a similar field, particularly within international development or financial institutions.

Experience:
The position requires a minimum of 5 years of relevant professional experience. This experience should include a background in operations within multilateral development banks or similar organizations, as well as familiarity with the processes and standards relevant to the role. Candidates should have demonstrated experience in managing multiple tasks and coordinating schedules, documents, and project deliverables effectively.

Languages:
Proficiency in English is mandatory for this position, both written and verbal. This is essential for effective communication within the organization and with external stakeholders. While not mandatory, knowledge of additional languages may be considered an asset, particularly if it enhances communication with diverse partners in the Asia-Pacific region.

Additional Notes:
This appointment is a fixed-term position with the option to renew, initially for a period of up to 3 years or until the Normal Retirement Date (NRD), whichever comes first. After the initial term, ADB may choose to renew the appointment for an additional 3 years based on various factors, including the staff member's performance and the organization's needs.
