Job Overview:
The Resident Protocol and Events Officer will be responsible for coordinating and organizing visits and events primarily in Brussels, with occasional responsibilities at the EIB Headquarters. This role involves delivering protocol services for the EIB President and Management Committee members, ensuring smooth execution of high-level engagements, and representing the Head of Division at key events. The officer will also prepare and accompany the President on business travels, ensuring effective protocol and logistical support. The position requires a proactive approach to managing protocol relations with various EU institutions and organizations, and the ability to work outside standard hours and travel on short notice is essential.

Duties and Responsibilities:
  • Provide professional protocol support for the EIB President, Management Committee members, and other senior staff during visits to Brussels and other institutions.
  • Prepare and accompany the President and delegations on missions outside Belgium and Luxembourg.
  • Manage official and corporate meetings and events organized by the division in Brussels, ensuring stakeholder satisfaction.
  • Represent the EIB Group and the Head of Division at events, promoting the Bank's interests.
  • Ensure protocol access and a professional welcome for visiting dignitaries.
  • Organize meetings and events in collaboration with senior colleagues, ensuring high-quality execution.
  • Oversee protocol tasks for official visits, including seating plans and coordination with security" style="border-bottom: 1px dotted #007bff !important;">security.
  • Manage activities related to event sponsorships, including budget coordination.
  • Analyze requests for event sponsorships and provide recommendations to senior management. 1
  • Oversee administrative tasks related to protocol activities, including budget control and statistics. 1
  • Coordinate with external service providers to ensure smooth event execution. 1
  • Develop and maintain a strong network of contacts within EU institutions and other organizations.

Required Qualifications:
  • University degree (minimum equivalent to a Bachelor) in international relations, diplomacy, European studies, law, political sciences, languages, hospitality, travel, event management, or corporate communication.
  • At least 5 years of relevant professional experience in protocol, diplomacy, international relations, or VIP hospitality, with a minimum of 2 years in a confirmed protocol role.
  • Excellent understanding of EU institutions and relevant counterparties.
  • Experience with budget and procurement processes.
  • Knowledge of diplomatic and corporate protocol rules and activities.
  • Ability to work independently and in a team, coordinating with various stakeholders.

Educational Background:
A university degree is required, preferably in fields related to international relations, diplomacy, European studies, law, political sciences, languages, hospitality, travel, event management, or corporate communication. This educational background is essential to understand the complexities of protocol and event management within the EU context.

Experience:
Candidates should have at least 5 years of relevant professional experience, particularly in areas such as protocol, diplomacy, international relations, or VIP hospitality. A minimum of 2 years in a confirmed protocol role is required, demonstrating the ability to manage high-level engagements and official missions effectively.

Languages:
Proficiency in written and spoken English and French is mandatory. Knowledge of other EU languages is considered an advantage, enhancing communication with diverse stakeholders and institutions.

Additional Notes:
This is a full-time position at grade 5, offering a permanent contract. The role requires availability outside standard working hours and regular business travel, sometimes on short notice.
