Job Overview: The Project Assistant position is designed to provide general and clerical assistance in the implementation of project activities. The role involves retrieving, compiling, summarizing, and presenting information and data on specific project topics. The Project Assistant will assist in monitoring the budget and updating budget-related information, as well as support administrative coordination for project implementation. This includes liaising with diverse organizational units or external parties to initiate requests, obtain necessary clearances, and process administrative actions. The position also requires drafting status reports, correspondence, briefing notes, graphics, statistical tables, and presentations, as well as supporting the organization of meetings, workshops, and training sessions. The Project Assistant will respond to general information requests and inquiries, maintain files and records, and perform other related duties as assigned.
Duties and Responsibilities:
Provide general/clerical assistance in the implementation of project activities.
Retrieve, compile, summarize, and present information/data on specific project topics.
Assist in monitoring budget and updating budget-related information.
Support administrative coordination for project implementation, involving liaison with diverse organizational units or external parties to initiate requests, obtain necessary clearances, process, and follow-up on administrative actions.
Draft status reports, correspondence, briefing notes, graphics, statistical tables, presentations, and other forms of documentation.
Support the organization of meetings, workshops, and training sessions.
Respond to general information requests and inquiries; set up and maintain files/records.
Perform other related duties as assigned.
Required Qualifications: Candidates must possess a school diploma with three years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution with one year of relevant professional experience. Accredited Universities are those listed in the UNESCO World Higher Education Database. Candidates should have experience in liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations. Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups is also required. Prior work experience with international humanitarian organizations, non-government or government institutions/organizations in a multi-cultural setting is an advantage.
Educational Background: The educational background required for this position includes a school diploma with three years of relevant experience or a Bachelor’s degree in relevant fields such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited academic institution. It is important that the educational qualifications are from accredited institutions recognized by the UNESCO World Higher Education Database.
Experience: The position requires candidates to have relevant professional experience, specifically one year for those with a Bachelor’s degree or three years for those with a school diploma. Experience should include liaising with governmental authorities, national/international institutions, United Nations agencies, and non-governmental organizations. Additionally, candidates should have experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups. Prior work experience with international humanitarian organizations or in a multi-cultural setting is considered an advantage.
Languages: Fluency in Spanish is required for this position, both oral and written. Additionally, oral and written fluency in beneficiary languages, particularly English, is considered an advantage. IOM’s official languages are English, French, and Spanish, and proficiency in these languages will be specifically evaluated during the selection process, which may include written and/or oral assessments.
