Job Overview:
The ERP Project Coordinator will play a crucial role in supporting the planning, execution, monitoring, and closure of ERP initiatives and business transformation projects. This includes projects related to Microsoft Dynamics 365, Sapience, SAP Concur, and other infrastructure/cybersecurity projects. The coordinator will apply CIMMYT's project governance and change management frameworks to ensure effective project delivery. The role requires maintaining day-to-day coordination, ensuring documentation quality, adhering to schedules, tracking risks and issues, and facilitating stakeholder communication to enable on-time and on-budget project delivery. The ERP Project Coordinator will work closely with various teams and stakeholders to ensure that project objectives are met and that the projects align with CIMMYT's strategic goals.

Duties and Responsibilities:
The key responsibilities of the ERP Project Coordinator include:
  • Project Coordination: Maintain integrated project schedules, RAID logs (Risks, Assumptions, Issues, Dependencies), and action trackers; facilitate stand-ups, planning sessions, reviews, and retrospectives.
  • Stakeholder Engagement: Coordinate cross-functional inputs with Finance, HR, Procurement, Science, Operations, and external vendors; prepare concise status updates, minutes, and decision records.
  • Scope & Change Control: Support change requests, impact analysis, and configuration baselines under PMO governance; ensure traceability from requirements to deliverables. Anticipate and report potential plan deviations, suggesting preventive and corrective actions to remedy deviations.
  • Budget & Procurement Support: Assist with budget tracking, vendor onboarding, SOWs, purchase requisitions, and invoice approvals in line with CIMMYT policies.
  • Risk & Compliance: Apply PMO standards, data protection and cybersecurity policies, and audit readiness practices; escalate blockers timely to the Head of PMO.
  • Planning & Reporting: Consolidate KPIs (schedule variance, budget variance, milestone burn-up, defect rate, adoption metrics) and produce weekly/monthly dashboards for senior leadership.
  • Quality Assurance: Enforce document templates (charter, plan, test plan, deployment checklist), acceptance criteria, and definition of done; coordinate UAT and go-live readiness.
  • Change Management & Training: Support communication plans, stakeholder mapping, training logistics, and post-go-live hypercare.
  • Continuous Improvement: Capture lessons learned, contribute to PMO playbooks, and help institutionalize standard operating procedures (SOPs). The coordinator will work closely with the Project Management Office members, Management of the ERP team, Process Owners, Business Analysts, Solution Architects, Information Security, Infrastructure, Application Support, and Change/Communications specialists. External interfaces include ERP implementation partners and managed service providers.

Required Qualifications:
Candidates must possess a Bachelor's degree in Computer Science, Engineering, Business, or a related field. Postgraduate study or project management certifications such as CAPM, PMP, PRINCE2 Foundation/Practitioner, or Scrum Master are considered an asset. Additionally, candidates should have 3-5 years of progressive experience in project coordination or project management roles within enterprise IT environments. Exposure to at least one full-cycle enterprise system initiative (ERP, HCM, Finance, Procurement, or equivalent), infrastructure modernization, or cybersecurity programs is essential. Proficiency with project management tools (MS Project, Planner, SharePoint, Teams, DevOps/Jira) and strong Excel/Power BI skills for reporting are also required. Excellent verbal and written communication skills in English are mandatory, and proficiency in Spanish is ideal. Candidates should have experience in vendor/contract coordination and familiarity with procurement processes.

Educational Background:
The educational background required for this position includes a Bachelor's degree in Computer Science, Engineering, Business, or a related field. Candidates with postgraduate studies or project management certifications (such as CAPM, PMP, PRINCE2 Foundation/Practitioner, or Scrum Master) will have an advantage in the selection process. This educational foundation is crucial for understanding the technical and managerial aspects of the projects the coordinator will oversee.

Experience:
The position requires candidates to have 3-5 years of progressive experience in project coordination or project management roles, specifically within enterprise IT settings. This experience should include involvement in at least one full-cycle enterprise system initiative, such as ERP, HCM, Finance, or Procurement, as well as exposure to infrastructure modernization or cybersecurity programs. The ideal candidate will have a proven track record of managing projects effectively and ensuring successful outcomes.

Languages:
Proficiency in English is mandatory for this position, as excellent verbal and written communication skills are essential for stakeholder engagement and reporting. Additionally, knowledge of Spanish is considered ideal and would be beneficial for working in a multicultural and international environment. Candidates who can communicate effectively in both languages will have a competitive advantage.

CIMMYT offers an attractive remuneration package along with support for continuous professional development. In addition to the provisions of the Mexican Labor Law, the benefits package includes a year-end bonus equivalent to 40 days of salary, a vacation premium of 56%, life and medical insurance, supermarket coupons, a savings fund, and social benefits as per Mexican regulations (IMSS, SAR / Infonavit).
