Job Overview:
The Project Assistant will play a crucial role in supporting the implementation of migration and border management projects within the Migration and Border Governance (MBG) portfolio of IOM Ukraine. This position involves working under the supervision of the Chief of Mission and the Senior Programme Officer, as well as collaborating closely with the National Project Officer. The incumbent will be responsible for assisting in the execution of various project activities, ensuring that international best practices are introduced to the program's beneficiaries. The role requires a proactive approach to project management, including procurement support, liaising with government entities, and organizing project events. The Project Assistant will also be involved in data collection and reporting, contributing to the overall monitoring and evaluation of the MBG program.

Duties and Responsibilities:
The Project Assistant will have a diverse set of responsibilities, including but not limited to:
  • Supporting the procurement needs assessment for migration and border management projects, gathering beneficiary requests, and coordinating with the Mission’s Supply Chain Unit.
  • Liaising with the Cabinet of Ministers and state beneficiaries to facilitate project registration and ensuring compliance with submission timelines.
  • Assisting the Programme Coordinator in collecting and disseminating data related to MBG activities among stakeholders.
  • Organizing project events such as trainings, workshops, and press conferences in Ukraine.
  • Maintaining effective communication with Ukrainian government partners involved in border and migration management.
  • Assisting in the preparation of reports on various bases (ad hoc, monthly, quarterly, yearly, and end-of-project).
  • Providing interpretation and translation services between Ukrainian and English as needed.
  • Composing official and unofficial correspondence in both languages.
  • Performing additional duties as assigned by supervisors.

Required Qualifications:
Candidates must possess a high school diploma with five years of relevant experience, or a Bachelor’s degree in Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related fields from an accredited institution with three years of relevant professional experience. Experience in administrative support within governmental sectors or international organizations is essential. Familiarity with the workflows and communication channels of the Cabinet of Ministers is considered an asset, as is experience working with state civil service or law enforcement agencies.

Educational Background:
The educational requirements for this position include either a high school diploma with extensive relevant experience or a Bachelor’s degree in a relevant field such as Political or Social Sciences, International Relations, Development Studies, Migration Studies, Human Rights, Law, or related disciplines. The degree must be from an accredited academic institution, ensuring that candidates have a solid theoretical foundation to support their practical experience.

Experience:
The ideal candidate should have a minimum of three years of relevant professional experience, particularly in administrative support roles within governmental or international organizations. Experience working with state civil service or law enforcement agencies is highly desirable, as is familiarity with the Cabinet of Ministers' workflows and communication channels. This experience will enable the Project Assistant to navigate the complexities of project implementation effectively.

Languages:
Fluency in both English and Ukrainian is mandatory for this position, encompassing both oral and written communication skills. This proficiency is essential for effective collaboration with stakeholders and for the accurate translation of documents and communications. Additional language skills may be considered an asset but are not required.

Additional Notes:
